The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
The Program Coordinator will oversee and direct day-to-day academic activities and provide important administrative support to multiple faculty members, research programs, labs and initiatives within the HICCC. The Program Coordinator will also be responsible for providing administrative support for the HICCC Brain Tumor Research Program .
Responsibilities
The responsibilities include but are not limited to the following:
Schedule meetings (request conference rooms, update shared calendars, coordinate A/V support etc.) in support of research programs, labs and initiatives.
Schedule potential recruits/candidates and visiting speakers for interviews and meals with faculty members, and liaise with other Institutional AAs as appropriate.
Arrange visiting speakers’ travel, accommodations and reimbursements, ensuring compliance with University and HICCC travel policies and procedures.
Advertise seminars and meetings as needed through email and flyers
Coordinate registration, travel arrangements and reimbursements for PI’s and lab members’ travel to seminars, meetings and conferences, ensuring compliance with University and HICCC travel policies and procedures.
Coordinate activities (managing all logistics for meetings and conferences, including arranging venue, catering, tracking expenses etc) for the Brain Tumor Research Program
Liaise with Communications to maintain Brain Tumor Research Program web site
Manage PI’s calendars and respond to requests for meetings (e.g. doodle polls)
Submit requests for access through CUIT, Telecommunications, etc.
Maintain and manage repair of office supplies and equipment.
Order office and lab supplies and/or reconcile lab supply transactions for other lab members
Manage purchase orders, P-card reconciliations, accounts payable and lab/program budgets.
Provide support for other financial activities as appropriate.
Provide administrative support for grant applications (Biosketch and Other Support, Facilities and Resources, and Equipment, and PMC-compliant Bibliography updates) and publication submissions
Assist with lab and/or research trainee activities as assigned
Greet and direct visitors, pick up and distribute mail.
Perform other related duties and responsibilities as assigned/requested.
Minimum Qualifications
Bachelor’s degree or equivalent in education and experience.
Preferred Qualifications
Must be proficient with Microsoft Office including Word, Excel, PowerPoint, and Outlook.
Excellent communication and organization skills.
