Job Summary
This position will primarily be responsible for supporting the Welcome Home program, with some tasks being administrative and others involving service delivery. Administrative tasks include data entry, tracking volunteer hours, scheduling and conducting interviews, completing reference checks and the development of statistical reports.
Service Delivery tasks include accompanying staff in the Care-a-Van to hand out provisions to the unhoused, supporting the team with planning and attending social events for Welcome Home participants and volunteers and other additional duties requested by the Program Manager of Welcome Home.
Job Duties
Administrative:
Assist with contacting the participants to provide updates and check on their ongoing progress, and report back to the Program Manager
Collect participant pre and interim ratings as requested
Conduct participant evaluations
Schedule and assist the Program Coordinator with volunteer and participant interviews when needed
Assist with conducting telephone reference checks for volunteer applicants as requested
Tracking activity fund expenditures monthly and sending this list to the Accounting department for reimbursement
Send out invitations to volunteer and/or participant for training and/or social events and confirm their attendance 1 or 2 days prior to an event
Attend and assist in the planning of any events for Welcome Home as requested
Audit volunteer files as needed
Attend required training to perform duties accurately and proficiently
Attend staff meetings and be responsible for documenting the meeting minutes
Service Delivery:
Assist in sorting donations and organizing the storage room for the Care-a-Van
Assist with preparing food provisions to be distributed by the Care-a-Van
Accompany other staff in the Care-a-Van when needed
Assist the team to plan and attend Welcome Home social events
General:
Facilitate and provide a welcoming, hospitable, and safe environment for people in our care consistent with the values and guiding principles of the Agency
Maintain appropriate personal boundaries with others
Communicate accurately and professionally with all staff and people we serve as well as with other stakeholders
Report incidents to the immediate supervisor or designate
Maintain current knowledge of Agency policies and procedures, as well as relevant legislation, regulations, practice and COA standards
Participate in team meetings and team building activities and practices and positively contribute to an effective team working environment
Provide information about Welcome Home and its services via telephone inquiries and through program pamphlets and brochures
Attend volunteer recruitment fairs as needed
Perform other duties as assigned
What This Job Requires:
Diploma in Office Administration, Human Services or equivalent
Proficient in the use of Microsoft Office and Agency databases
2 years of experience working with the unhoused is preferred
Excellent communication, collaboration, and interpersonal skills
A high degree of professionalism, attention to detail, accountability, and accuracy

Outstanding phone, digital, and in-person etiquette
Highly resourceful, flexible, and adaptive

All required mandatory and other Agency-assigned training, located on Dayforce Learning calendar, to be completed by assigned due date

What We Offer:
The annual salary for this position is $20,173.42 - $22,714.1 based on qualifications and experience (20 hours/week). We offer flexibility and supportive working environment.
