About the Opportunity

The Program Assistant provides administrative and program support to the Ministry of Culture, Heritage and Language (MoCHL) team. The Program Assistant supports MoCHL team members across multiple program-related tasks focusing primarily on the language portfolio. Work includes administrative support throughout grant cycles, financial administration such as initiating and tracking payments to grant recipients and gathering and summarizing grant data for reporting purposes. The Program Assistant acts as a team player to provide support to other MoCHL initiatives as needed, contributing to successful program implementation. This position supports MoCHL events and workshops, involving technical assistance for virtual meetings, travel coordination for in-person engagements, representation of MoCHL at public functions, and event planning administration. The Program Assistant performs various administrative support tasks including records management and office-related tasks.


DUTIES & RESPONSIBILITIES

• Provides support to the MoCHL team in a variety of program related activities, which may include: proofreading and updating documents, file management, data management and reporting, financial administration such as initiating and tracking payments, and any other administrative activities related to the grant cycle from application to final reporting.

• Provides support to all MoCHL teams and initiatives as needed, participating in successful program implementation by engaging in administrative duties, as assigned.

• Leads small projects and works both independently and as part of a team to ensure that high quality work is produced in a timely manner.

• Supports events, workshops or initiatives hosted or attended by MoCHL, where activities might include technical support for virtual meetings, coordinating travel for in person events/initiatives, representing the MoCHL at public events, event planning administration and support for staff and/or community members during events.

• Provides program and administrative support throughout the day-to-day operations including answering phone calls, scheduling meetings, taking meeting notes, handling email inquiries and providing information or directing citizens to appropriate individuals within MoCHL.

• Collects, organizes, and maintains data collected from various program initiatives. Assists in compiling, interpreting and summarizing data for reporting purposes.

• Performs a variety of administrative duties, including filing, photocopying, binding, scanning, sorting and maintaining records, including personal financial records, in a confidential manner and according with MoCHL and MNBC protocol.

• Participates in committees and project teams as required.

• Undertakes related duties as assigned, consistent with the job grade of the position.

• Other duties may be assigned as needed to ensure the efficient operation of MNBC.

• Regular/ occasional attendance at meetings/ events that may require work and travel outside of normal business hours.

QUALIFICATIONS

• Diploma in a relevant field, including Business Administration, Linguistics, Indigenous Language Revitalization, Indigenous Studies, Cultural Studies, Human Services.

• Two (2) years of experience providing administrative assistance or project support.

• Knowledge of Indigenous language revitalization is an asset.

• A combination of relevant experience, education and training will be considered.

• Knowledge of office management systems and procedures, including tracking data for grant files and payments.

• Knowledge and/or awareness of grant application and award processes (either as an applicant or an employee of a granting agency) is an asset.

• Proven ability to proofread documents for formatting, grammatical and spelling errors.

• Demonstrated ability to effectively communicate both verbally and in writing, ensuring a high degree of confidentiality is maintained.

• Demonstrated ability to manage sensitive information, files and data safely and confidentially, including personal financial information.

• Demonstrates initiative and a willingness to learn in the workplace.

• Demonstrates strong attention to detail and is results focused.

• Ability to lead small projects to provide assistance to MoCHL initiatives.

• Proven ability to utilize strong interpersonal skills to deal with others effectively.

• Proven ability to prioritize tasks, meet deadlines, and work with minimal supervision.

• Proven ability to utilize, adapt and embrace new technologies, including Microsoft Office 365, Canva and others.

• Knowledge and/or awareness of the historical and contemporary contributions made by Métis people in B.C.

• Possession of, or the ability to obtain, a Class 5 driver’s licence may be required.

• The position may require the completion of a Criminal Record Check and Vulnerable Sector Check
