Job description:
We are seeking a highly motivated, organised and detailed oriented person to join our dynamic team in Hong Kong as Gallery & Project Manager.
This position will report to the Regional Head of Gallery Relations, Director of Art Basel Hong Kong, and General Manager of Hong Kong or such person as the Company may designate.
As Gallery & Project Manager, you will be responsible for supporting the Gallery Relations team by understanding gallery programs, the ecosystem surrounding galleries both regionally and internationally. You will manage and facilitate the participation of Exhibitors from application, selections to coordinating booth design and logistics. You will provide content feedback, handle administrative tasks and relevant client management duties related to the Show. You will be required to manage and lead multiple projects ensuring all deliverables are fulfilled and completed to high standards.
This individual must demonstrate the proven ability to successfully lead projects and thrive in an environment with multiple responsibilities and deadlines.
Specific responsibilities include, but are not limited to:
Gallery Relations
- Support or lead a variety of projects under the Gallery relations team
- Support or lead communications with Exhibitors
- Support and lead pre-show preparations, including booth designs, booth orders, and project logistics
- Support galleries on both presentation and booth design to ensure smooth delivery of booths pre-show
- Act as onsite liaison and advisor in support of the exhibitors and the Gallery Relations Team
- Network and interact with galleries from the region and at other shows to assure continuous customer satisfaction
- Have good level of knowledge about exhibitors’ gallery programs and artist representations
- Develop a good understanding of technical aspect of booth build-out & design
In General
- Offer support to the Gallery Relations team in order to facilitate a successful delivery of the show
- Assist with managing and coordinating show-specific requirements on various projects
- Be able to lead and manage the various tasks assigned efficiently and effectively as needed
- Support or lead a variety of projects under the Gallery relations team as required
- Effectively document processes and knowledge share amongst the department and other Teams
- Assist with budgets and revenue forecasts for the department
- Assist with streamlining and aligning processes with the other Art Basel shows
- Support Regional Head on reviewing and evaluating present systems, implement appropriate changes to effectively and continuously improve the quality
- Support Regional Head on developing and implementing new gallery related services and procedures
- Coordinate between internal teams based in Hong Kong, Europe and America
- Provide regular updates with Gallery Relations Regional Heads / Regional Director / General Manager / and other Department Heads as needed
- Support and work closely with various departments on adhoc duties related to the show
Your profile
- Minimum 5 years’ experience in events, exhibition, or gallery industry, demonstrating strong and successful project management skills.
- Excellent communication, interpersonal and negotiation skills
- Quick learner, with strong attention to detail and accuracy for all assigned tasks
- Confident team player, cable of working well independently and as part of a team
- Optimistic, energetic 'can do' problem solver and strategic thinker who can take initiative while being open to new ideas and willingness to provide & receive feedback
- Creative and capable of generating new ideas, concepts and processes
- Highly driven and organized with strong ability to work under pressure and ability to manage multiple projects simultaneously
- Patient and adaptable and able to improvise and remain responsive while able to communicate clearly and effectively under pressure
- Good command of both spoken and written English and Chinese (including Putonghua)
- Excellent Microsoft Office skills
- Experience coordinating or managing an Awards Program an asset
