We are seeking a Welcoming Specialist who will serve as an Administrative Assistant and perform a variety of duties to provide administrative and staff support, which requires a range of skills and knowledge of organizational policies and procedures.

Duties & Responsibilities

  • Provide administrative support of a moderately complex nature to a team of individuals in various departments. Perform work independently in support of clinical and administrative services.
  • Record, prepare, and distribute meeting minutes.
  • Transcribe clinical and psychiatric assessments.
  • Prepare correspondence, including transcription if required.
  • Provide professional communication and excellent customer service to staff, clients, vendors, and visitors by phone, e-mail, or in person.
  • Establish, maintain, and update databases, spreadsheets, records, and/or other documents.
  • Maintain office equipment and coordinate repairs.
  • Open and distribute incoming mail, faxes, and inter-office mail; prepare outgoing mail.
  • Respond to requests for release of information from multiple sources, and release records as appropriate; document records released; invoice as appropriate for record charges.
  • Greet and assist clients and guests with building and site navigation.

This position is 40 hours a week, Monday through Friday, 8:00 am to 4:30 pm. There are no weekends, on call, or holiday requirements for this position. This assignment is in person at 790 Fuller Ave Grand Rapids, Michigan 49503.

Minimum Qualifications

  • High school diploma or equivalent.
  • At least two years of experience providing clerical or administrative support, and/or customer service in an office environment.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Excellent communication skills, both verbal and written.
  • Excellent customer service skills.
  • Demonstrated ability to type 45 words per minute, accurately and consistently.
  • Possession of a valid driver’s license and access to reliable transportation for job related use.
  • Lived experiences with mental illness/developmental disabilities/substance use disorders valued.
