Position Summary
Under the supervision of the Director of the Training Institute and Clinical Development, the position's primary responsibility will be to coordinate the scheduling, administrative, logistical, and technology aspects of training, rentals, and other events provided through the Training Institute. The coordinator is also expected to oversee hosting of event on the day of to ensure the needs of the participants are met.
Responsibilities
Training & Event Coordination
Coordinate and execute details of Training Institute events and trainings to include:
- Corresponding with trainers and trainees to manage schedules and training day needs.
- Communicate with outside vendors to order food, refreshments, and supplies as needed.
- Collaborate with facilities and IT management to ensure technology and room set up accommodates participants' needs.
- Prepare educational aids and materials.
- Assist with greeting visitors in the building
Gather and assemble training materials and content relevant to training in order to submit application to licensing boards for Continuing Education Credits (CEUs).
Market available training opportunities by providing necessary information to internal and external audiences.
Create and coordinate online platforms to provide livestreaming capability for the trainings.
Oversee events and ensure the needs of participants are being met, to include but not limited, managing food and beverages, helping training facilitators as needed, ensure materials are available when needed, and troubleshooting technology issues.
Set up and clean up events held for the Training Institute.
- Configure event space layout by moving chairs and tables
- Carry boxes of materials, cases of water and other equipment
Analyze event operations, and based on the results, prepare and implement recommendations for improving operational efficiencies within events.
External Training & Rental Coordination
Gather information for training requests and rentals, work with external clients to clarify training needs.
Work with external clients, Washburn Trainers, and the Training Institute Director to determine ability to customize trainings to the clients' needs.
Coordinate logistics for the day of the event as needed
Coordinate travel arrangements as necessary for the Washburn Trainers.
Prepare materials necessary for the training.
Work with the Finance Department to create contracts and send invoices for the training.
Collect feedback from the training events.
Develop feedback reports to help ensure the continuous improvement of Washburn trainings and trainers.
Learning Management System Maintenance
Manage enrollment for all internal and external trainings in the Learning Management System (LMS), and follow up with trainees to ensure completion of trainings.
Enroll and train all new staff on the use of the LMS.
Track and manage all registration fees through the LMS.
Troubleshoot technical issues.
Collaboratively contribute to development and revision of online LMS courses
Support staff using LMS for other program trainings, including new hiring training, annual training requirements, and other administrative training needs.
Database Management
Use Microsoft Access database to track completion of Washburn Center for Children's trainings.
Track CEUs earned by staff members through the Training Institute, which are required for clinicians to maintain licensure.
Collect, compile, and report results of evaluation, attendance, and training data in order to continually improve educational opportunities.
Collaborate with the Database Manager and Information & Database Coordinator to develop tracking processes and troubleshoot database issues.
Administrative Support
Support directors with preparing correspondence, presentations, and other documents.
Provide miscellaneous administrative support to Training Institute Staff, program supervisors, and clinical staff.
Assist with planning internal staff meetings, preparing meeting agendas, and recording meeting minutes.
Take the lead in organizing complex information and developing processes and procedures that ensure smooth administration of the Training Institute.
Support Agency wide trainings as needed, tracking and managing them
Manage the Training institute space via calendar.
Completing other miscellaneous duties as assigned by the Training Institute Director.

Requirements
Bachelor's Degree in a related field
1 - 3 years' of experience in an office environment including administrative support and database management
Ability to lift 50 lbs. on a regular basis
Ability to reconfigure 160 chairs and 30 tables in the training institute as needed
Ability to push 100 lbs. (with a cart) on a regular basis
Ability to stand for several hours at a time on a regular basis
$20 - $23 an hour

Vacation: Paid Vacation accrues at 10 hours of vacation per month - up to 15 days / 120 hours annually.
Sick Leave: Paid sick leave accrues at 6.68 hours of sick per month - up to 10 days / 80 hours.
Holidays: There are 2.5 days/20 hours of floating holidays per year in addition to the eight standard holidays.
