POSITION TITLE: Support Services Coordinator (Confidential Position)
REPORTS TO (TITLE): Site Director
Job Summary: Under the supervision of the Site Director, the Support Services Coordinatorassists the management team with the daily operations, provides administrative support to the Site Director, maintains medical provider and resident scheduling and works on a variety of special projects in support of the health center.
Hourly range: $21.00-$25.55 DOE
Specific Tasks/Duties Include :
- Performs administrative duties for Site Director including but not limited to copying, faxing, filing, telephone calling, drafting correspondence, and working on a variety of assigned projects.
- Schedules meetings, sends meeting reminders to participants, takes minutes, distributes minutes to participants.
- Orders supplies as needed for the site, including office supplies, printed materials and forms.
- Acts as point person regarding new provider hires: interfaces with HR, IT and other components of the organization as needed for smooth new provider onboarding processes.
- Creates reports requested by Site Director or Medical Director, including data gathering, graphing and charting results; reports include monthly statistics (e.g., patient visits, provider hours, productivity by provider).
- Maintains accurate and timely staff scheduling for residents and providers.
- Works closely with residency staff to ensure effective communication and coordination of residency and faculty schedules.
- Maintains support staff time off calendar (vacation/sick/personal leave and other types of leave) and assists clinic managers with scheduling and coordinating coverage.
- Assists Site Director with annual review of mandatory staff trainings; keeps attendance log and schedules trainings.
- Participates in ongoing training.
- Other duties as assigned.
Qualifications
Minimum Qualifications :
Education:
- BA degree or equivalent education or experience strongly preferred; high school diploma or equivalent required.
Experience:
- At least two years of administrative assistant experience or equivalent required.
- Experience in health related services preferred.
Knowledge and Skills:
- Fluency (speak, read, and write) in English and Spanish or another language representative of the patient population preferred.
- Demonstrates knowledge of compliance issues within the community clinic environment.
- Demonstrates a willingness to report any incident that is unusual or incompatible with accepted clinic procedures.
- Maintains confidentiality of patients at all times by complying with HIPAA policies.
- Sensitivity to and willingness to interact with persons of various social, cultural, economic and educational backgrounds.
- Proficiency with Microsoft Office applications including Outlook, Word, Excel and PowerPoint.
- Strong organizational skills with ability to prioritize projects, work relatively independently, manage multiple tasks, and meet deadlines.
- Strong written and verbal communication skills.
- Strong interpersonal skills. Ability to work with people with a variety of background and educational levels.
- Ability to work independently and as part of a team.
- Good judgment, problem solving and decision-making skills.

While performing the duties of this job, this position is frequently required to do the following:
- Use standard office equipment and access, input, and retrieve information from a computer. U se computer keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time .
