Aged & Disability Support (Community Services & Development) 6 Month Contract | 9 AM to 5 PM | Cranbourne West | In house Parking $75,000 to $80,000 per annum | Monthly Employee Recognition Purpose of Position: We are seeking a dynamic and detail-oriented Senior Programs Administrator to join our team! You will work closely with the Programs Manager to maintain a motivated team that consistently meets all administrative and compliance requirements for service users across various programs, including NDIS, HCP, TAC, WorkCover, and others. Your work will support the delivery of quality services, with a focus on health, safety, and compliance, ensuring that company policies and procedures are followed. Key Responsibilities: 1. Monitoring and Supervision of Complex Programs: Ensure the reliable and compliant operation of complex programs with a focus on quality, continuity, and safety. Maintain a comprehensive register of all health professionals and support workers involved in programs, monitoring visits, reports, and training. Ensure eligibility, compliance, and training of support workers in line with company policy. Coordinate care and treating team meetings, including setting agendas, taking minutes, and following up on action items. Weekly review of support documentation to ensure completeness and follow-up on incidents. Manage care plans, ensuring all required documentation is current and compliant. Conduct quarterly catch-ups with service users to evaluate satisfaction and make improvements. Monitor program budgets and prevent overspending through proactive management. Maintain strong relationships with service users, care teams, and external stakeholders to ensure smooth program operation. Report challenges and provide feedback to improve the Clinical Governance Framework. 2. Compliance and Liaison: Depending on business needs, ensure strict adherence to NDIS, Aged Care Commission, and Victorian Senior Practitioner requirements. Work with the Authorised Program Officer (APO) to ensure compliance with restrictive practice regulations and work towards eliminating their use. 3. Continuous Improvement and Other Duties: Foster a culture of continuous improvement, including recommending policy updates and enhancing administrative efficiency. Collaborate with colleagues on staff training and contribute to a quality service user experience. Perform other administrative tasks as assigned by the Programs Manager. Skills & Attributes: Strong workload management and organisational skills. Clear communicator with the ability to build rapport with colleagues, service users, and external stakeholders. Excellent problem-solving and decision-making abilities. High ethical standards and personal integrity. Qualifications & Experience: Experience working with service users with complex needs. Support work and/or nursing experience (desirable). Proficiency in Microsoft Office. Understanding of regulatory requirements and funding arrangements for NDIS, HCP, and TAC programs.
