The Division of Senate Research is seeking a secretary for a nonpartisan, fast-paced, multi-faceted legislative environment. The successful applicant will assist legislative attorneys and analysts in creating draft legislation. This position requires an attention to detail, good typing and proofreading skills, and a great attitude. This is an advanced secretarial position involving major responsibilities for the operation of the Senate Research Staff office. Works under the general direction of the Research Director.
Perform a variety of supportive secretarial duties for professional research staff.
Type legislation, amendments, summaries and resolutions drafted by research analysts and utilize the newly developed Bill Drafting System to prepare legislation into the proper format.
Process fiscal note requests made to the Oversight Division.
Answer incoming telephone calls, refer callers to the appropriate analyst, and answer inquiries for legislative information.
Monitor the Senate schedule and hearing notices and assist staff in meeting their responsibilities to members and committees.
Electronically transmit legislation and other documents with the Computer Information System, Enrolling and Engrossing, Secretary of Senate, Oversight Division, Chief Clerk and Senator’s offices.
Prepare and assist in the preparation of reports, tables and other information using word processing, spreadsheet, presentation and other types of software.
Minimum Qualifications
Perform other related work as required.
Working knowledge of office practices and procedures.
Knowledge of business English, including good grammar and spelling skills, and the ability to type accurately at a working rate of speed.
Considerable knowledge in Excel and working knowledge of other computer software applications.
Ability to work well under pressure of frequent deadlines.
Ability to maintain confidential information.
Ability to establish and maintain effective working relationships with Senate members and their staff.
Ability to communicate effectively verbally and in writing.
Demonstrates a positive attitude in the workplace involving proactively solving problems and embracing change with optimism.
Flexibility in extended work hours during the Legislative Session (January-May).
Preferred Qualifications
Three years of experience in secretarial office management. One year of experience in a position that gives familiarity with the legislative process preferred.
