Summary

Are you highly organized, deadline-driven, and ready to play a key role in developing winning proposals for professional services? Albert A. Webb Associates (WEBB) seeks a Proposal Coordinator to join our Business Development and Marketing (BD/M) Department. This is an exciting opportunity to help drive growth by producing client-focused, compliant, and visually polished proposals while supporting key business development systems and processes.


Responsibilities

  • Proposal Coordination: Manage the entire proposal development process, including reviewing RFPs, developing proposal plans and schedules, coordinating content from technical staff, editing, and assembling final deliverables.
  • Content and Asset Management: Maintain and update staff resumes, project profiles, and qualifications using OpenAsset, ensuring proposal content is accurate, current, and brand-aligned.
  • CRM Support: Update and manage opportunity records in Microsoft Dynamics 365 CRM. Serve as a backup troubleshooter for CRM-related questions and minor system issues.
  • Copy Editing and AI Use: Edit proposals for clarity, consistency, and grammar. Leverage AI tools to assist with content generation and editing as needed.
  • Quality Assurance: Ensure all proposals and documents adhere to internal branding, formatting, and style guidelines.


Requirements

  • Experience: 1-3 years of experience, including internships. Experience coordinating proposals, assisting with marketing efforts, or project coordination.
  • Project Management: Ability to manage proposal schedules, gather inputs, and meet deadlines with supervision.
  • Technical Skills: Proficiency in Adobe InDesign (or strong ability to learn quickly). Experience with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Organization Skills: Highly organized, detail-oriented, and deadline-driven. Strong editing skills with a commitment to producing high-quality, compliant documents.
  • Collaboration: Professional communication skills and a collaborative mindset. Ability to work effectively across departments in a fast-paced environment.


Preferred Qualifications

  • Education: Bachelor’s degree in Communications, English, Marketing, Business, or a related field.
  • Technical Skills: Familiarity with Client Relationship Management (CRM) systems like Dynamics 365 and Data Asset Management (DAM) systems like OpenAsset. Proficiency in Adobe InDesign and Premiere Pro and the ability to craft AI prompts is a plus.
  • Certifications: Any relevant marketing, proposal, or project management certifications.
  • Professional Services Experience: Experience working in a professional services environment is preferred.
  • Industry Knowledge: Familiarity with the Civil Engineering industry and Inland Southern California market is a plus.
