Summary

Established in 2010, the Energy Research Institute @ NTU (ERI@N) focuses on cutting-edge innovations, research translation, strategic partnerships, and industry collaboration to accelerate decarbonization and sustainable energy transition. ERI@N distinguishes itself through interdisciplinary research excellence directed towards translation outcomes of industry relevance with focus on systems-level research for tropical megacities. The Institute integrates research across NTU as a whole in the context of the energy challenge, and then helps translate outcomes into industry and practice.

We are looking for a Project Officer (Operations & Administration) who will be responsible for overseeing the daily administrative functions and operational management of the Institute. The successful candidate will work with the Programme Director and Assistant Director to ensure the smooth execution of processes, compliance with policies, and efficient coordination across stakeholders.

Key Responsibilities

  • Provide daily operational and administrative support for ERI@N’s offices & lab.
  • Support ERI@N PDPA manager to ensure PDPA compliance, track and compile monthly report on completion statistics on PDPA e-learning courses by new hirers and internal transferee, regular review of documents to minimize operational personal data risks.
  • Work closely with ERI@N Contracts Officer to manage contracts administration including liaising with internal and external stakeholders to sign Research Collaboration Agreements, Non-Disclosure Agreements etc, perform documentation and filing.
  • Assist in organisation of events such as visits, seminars, workshops, conferences, including logistical arrangements, budget monitoring, and smooth on-site execution.
  • Work with Principal Investigators (PIs) and Project Staff on matters related to grants submission, budget scrubbing, and award acceptance.
  • Perform other duties as assigned based on ERI@N operations and needs

Job Requirements

  • Bachelor’s (for PO and Research Assistant equivalent) in any discipline
  • Prior working experience in higher education environment and experience with managing budget, expenses, events and logistics would be an added advantage
  • Proficient in Microsoft 365 applications (Excel, Word, Powerpoint, Publisher etc)
  • Good written and oral communication skills
  • Meticulous with an eye for details and able to keep to timelines.
  • Problem solving, research and analytical skills to manage multiple responsibilities effectively
  • Ability to work independently and can work well in a team
