We’re looking for a highly organized and detail-oriented Project Coordinator to support our Utilities Division. This role is essential to ensure the accurate and timely submission of project documentation, as well as the ongoing coordination of invoice schedules and administrative tasks. The ideal candidate has strong communication skills, thrives in a fast-paced environment, and brings a proactive, problem-solving mindset to the table.

Key Responsibilities

  • Organize, manage, and track project submittals for the Utilities Division
  • Coordinate and submit project documentation, ensuring accuracy and deadlines are met
  • Monitor invoice due dates across multiple projects and compile required documentation
  • Maintain digital filing systems and ensure proper documentation workflows
  • Support project managers and teams with administrative duties as needed
  • Help streamline internal processes to improve operational efficiency

Requirements

  • Fully professional and fluent level of English
  • Prior experience in an administrative or project coordination role, preferably in construction, engineering, architecture, property management, or landscaping
  • U.S. work experience is preferred, but not required
  • High proficiency in Microsoft Office, especially Outlook and Excel
  • Experience tracking project milestones and managing team or crew schedules
  • Strong data entry and digital organization skills
  • Excellent communication and time management abilities
  • Ability to work independently and manage multiple tasks simultaneously
