Description

We are seeking a highly organized, responsive, and customer-oriented Project Coordinator to join our team in supporting the delivery of sign language interpreting services. This role is central to the smooth operation of interpreter scheduling, ensuring timely, accurate, and high-quality support for clients and interpreters. Duties

Scheduling & Coordination

  • Serve as the primary point of contact for interpreter scheduling requests and coordination.
  • Schedule and confirm interpreters for both on-site and video-based assignments, ensuring alignment with client needs and interpreter qualifications.
  • Monitor availability and proactively manage work orders to guarantee fulfillment of all service requests—planned and emergent.
  • Resolve scheduling conflicts, address interpreter questions, and respond to urgent same-day or after-hours requests as needed.
  • Collaborate closely with interpreters and clients to ensure clear communication and seamless service delivery.

Client & Stakeholder Communication

  • Respond to client inquiries and scheduling updates via phone and email with professionalism, clarity, and urgency.
  • Maintain a customer-service mindset, ensuring client satisfaction throughout the request lifecycle.
  • Communicate scheduling details, confirmations, and changes promptly to relevant parties.

Systems & Documentation

  • Maintain accurate and detailed records within scheduling systems, ensuring all job orders, interpreter assignments, and service notes are current.
  • Track trends, identify recurring needs or challenges, and recommend process improvements to strengthen coordination systems.

Team Collaboration

  • Work in partnership with Program Managers, Interpreter Relations staff, and other internal teams to deliver outstanding service experiences.
  • Participate in team check-ins, reporting, and quality assurance reviews related to service delivery and scheduling performance.

Requirements

KNOWLEDGE, SKILLS & ABILITIES

  • Advanced skills with MS Office Suite (Word, Excel, Access, Outlook) and email communication.
  • Basic knowledge of the interpreter scheduling platform, uSked.
  • Strong problem-solving, decision-making, and multitasking skills.
  • Exceptional customer service skills, with the ability to communicate clearly and effectively in diverse environments.
  • Ability to maintain composure and professionalism in high-pressure or emotionally charged situations.
  • Strong interpersonal skills with the ability to work collaboratively across teams.
  • Knowledge and ability to effectively respond to unique interpreting situations with ethics and confidentiality.
  • Physical capability to perform interpreting duties, including standing and signing for extended periods.
  • Ability to handle multiple priorities, manage time-sensitive requests, and adapt quickly to changes.
  • Ability to adhere to outlined processes and support recruitment efforts.

Education & Experience

  • 2+ years of experience in project coordination, scheduling, or administrative operations (preferably in interpreting or accessibility services).
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Proficiency with scheduling or CRM platforms (e.g., uSked, Google Suite, MS Office, etc.). Ability to work flexible hours, including occasional nights or weekends as required.
  • Familiarity with Deaf culture and interpreting services is a plus.
