Program Coordinator & Analyst Role Profile

Position Summary:

The Program Coordinator & Analyst is a hybrid blend of Program Admin/Coordinator, Data Analyst and System Support. This is an exempt role, and it reports to the Director of Management Information Systems. The key internal partners this role with partner closely with include information systems (IS), operations, marketing and web team, and accounting. The key accountabilities for success in this role include student account administration, scholarship and Longhorn textbook access (LTA) billing, scholarship support, system administration support, and reporting and analysis.

Key Accountabilities & Achievements:

  • Student Account Administration:
    • Create/update accurate student accounts for 50k+ students each semester
    • Audit student information before key reporting dates
  • Scholarship and LTA Billing:
    • Maintain accurate scholarship account information for 15k+ students across 7 programs
    • Apply scholarships appropriately to LTA transactions
    • Communicate necessary charges to the university bursar’s office
  • Scholarship Support:
    • Assist customer service team in troubleshooting issues with student balances and access to funds
    • Minimize errors prior creating student facing issues
    • Review and train customer service team on common errors, communication, and when to escalate issues
  • System Administration Support:
    • Complete tier 0 and 1 level internal support cases within stated response time
    • Work with IS team to improve response to common issues
    • Assist company with advanced Excel and basic NetSuite support
  • Reporting & Analysis:
    • Assist in creating reports for various departments throughout the organization
    • Organize reports to create more consistent usage
    • Verify information integrity
Knowledge, Abilities & Experience for Success:

  • Bachelor’s degree or related work experience required
  • 1-3 years of related work experience
  • NetSuite or similar ERP, and big data experience
  • Microsoft Suite with advanced Excel


Physical Demands:

  • Substantial movements (motion) of the wrist, hands, and/or fingers in a repetitive manner.
  • Continuous sitting, standing, walking, using stairs, hearing, talking, bending, crouching, and working closely with others.
  • Exerting up to 20 pounds of force occasionally to lift, carry, pull, or otherwise move objects.


Work Environment:

  • Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
  • Moderate noise (examples: business office with computers and printers, light traffic).
  • Indoor and outdoor work environment with occasional exposure to moving mechanical parts, fumes, or
  • airborne particles, toxic or caustic chemicals and outside weather.
  • Onsite, with flexibility for hybrid on occasion, hours of work are Monday through Friday, with occasional evenings and/or weekends during peak periods.
