The Operations Manager will oversee day-to-day activities to ensure efficient and effective operations, managing production, quality control, inventory, and resource allocation, while collaborating with other departments to achieve organizational goals.
Minimum Qualifications
A minimum of a bachelor’s degree from an accredited university/college.
At least two years of facility/operation management experience required.
Strong analytical and problem-solving skills with a genuine passion for operational excellence.
Detail oriented, organized, able to multi-task and work in a fast-paced environment.
Must possess excellent customer service and writing skills.
Flexible work schedule to meet clinic hours; reliable transportation to access other clinic sites as assigned.
Responsibilities
Continuously identify areas for improvement and implement strategies to streamline processes, reduce costs, and enhance productivity for IT and Facility Operations.
Work closely with the CFO and CHRO/Legal Counsel to comply with procurement policy for bids and vendor selections.
Serve on the Risk Management and Compliance Committee to implement the best practices for customer safety and employee satisfaction with city, state, and federal regulations (OSHA, PCMH, HUD).
Annually review and revise, as necessary, written policies and procedures for IT and Facility Operations.
Ensure operational services meet quality standards involving the supply chain, including limited sourcing of materials, coordinating logistics, and ensuring timely delivery for IT/Maintenance/Facility repairs, replenishment of supplies, and maintaining updated tracking and inventory.
Lead the Safety Committee Meeting and the scheduling cadence for safety drills.
Schedule annual HIPAA Risk Assessments with third-party vendors and work closely with the vendors and key team members to implement correction action plans and monthly quality assurance metrics.
Work closely with the Facility Coordinator and IT Specialist to track inventory for equipment and supplies.
Meet with third-party IT Vendor monthly for IT Reporting and Dashboard.
Serve on internal committees (Operations & CQI) to provide updates on KPIs or compliance initiatives.
Meet bi-weekly with Clinical Managers for site visit walk-throughs and complete a checklist for facility needs and compliance with OSHA, OSV, and other federal regulations.
Maintain a spreadsheet of vendor agreements, MBE, and types of services.
Work with the Facility Coordinator to schedule annual maintenance reviews for major equipment, including elevators, cosmetic fencing, boilers, HVAC, heating/cooling, electrical equipment, and machinery.
Ensure all company vehicle fleets receive routine checkups, repairs, and cleanings.
Monitor the vending, cleaning, and other third-party vendors to ensure compliance with contractual requirements.
Ensures Facilities Team complies with cadence for winterization, exterior/interior cleaning, lawn care, and other cosmetic cleaning (seasonal maintenance).
Collaborate with care team members to address patient care issues and resolve outstanding items related to facilities and IT.
Re-engage no-show patients through outreach to ensure they return to care.
Complete and track deep dive workflow work repairs, transportation, and technology repairs.
Meet departmental goals, attend meetings, and maintain compliance with policies and procedures.
All other duties as assigned.
