ROLE PURPOSE
The Office Coordinator directly supports the Glory Carrollton office under the supervision of the Vice President, Service Operation. The Office Coordinator is responsible for ordering of office supplies, coordination of meetings and events, maintaining office systems, and provides general administrative support to the team.
Key Responsibilities
MAIN RESPONSIBILITIES
- Manages the front lobby of the Glory Carrollton office, greeting all visitors and employees who enter in the facility. Ensuring that all safety measures are met through the visitor log being completed, etc.
- Manages the day-to-day operations of the office including ordering supplies, managing supplies inventory, and ensuring the facilities are maintained and workspaces are organized.
- Room control and main coordinator of meetings and events in the Carrollton office for executive leaders, managers, and visitors. This may include preparing meeting materials and arranging catering as needed.
- Handles incoming and outgoing correspondence, including office emails, phone calls, and mail.
- Handles all badging requirements for employees, workers, and visitors.
- May act as a Point of Contact with external vendors to ensure office maintenance and repairs are completed in a timely manner, in accordance with the SLA.
- Participates in several initiatives such as the Great Place to Work committee and the Safety Advocate group.
- May complete paperwork for the site such as invoice reconciliation, travel booking, etc.
- Other duties as assigned.
Skills, Knowledge & Expertise
REQUIRED EDUCATION AND QUALIFICATIONS
Required Education
- High school degree or equivalent
Required Skills And Competencies
- 2-3 years of experience as an executive assistant, office coordinator, or related field.
- Excellent communication and interpersonal skills
- Excellent organizational and time management skills.
- Familiar with expense reconciliation software such as Concur or Egencia
- Proficient in Microsoft Office Suite (especially Outlook, Word and Powerpoint).
