Position Summary
The International Program Coordinator (IPC) plays a key role in managing international education programs at Northwest University, ensuring effective administration of exchange programs, international student services, and study abroad opportunities. The IPC provides guidance to international students, coordinates pre-arrival and post-arrival processes, and collaborates with faculty, staff, and external partners to support international education initiatives.
This position is 40 hours/week, and it is benefit eligible.
Essential Functions
International Student Admissions, Support & Services:
* Provide assistance to prospective CELE, Undergraduate and Graduate students with admissions processes.
* Provide assistance to international students with application processes, visas, and pre-arrival preparations.
* Act as a liaison between students and various departments, including housing, student accounts, and academic advising.
* Coordinate new international student orientation, including airport pickups, housing check-ins, and welcome events.
* Monitor international student attendance, academic progress, and overall well-being.
* Assist with advising and programming for CELE (Center for English Language Education) students and exchange/visiting students.
Exchange and Visiting Student Programs & Short-term programs:
* Manage nomination tracking and application processing for incoming exchange/visiting and short-term program students from partner universities/organizations.
* Oversee the registration process for exchange/visiting and short-term program students, ensuring compliance with academic and visa regulations.
* Develop and coordinate cultural programming and social events for international students.
* Serve as a primary point of contact for partner universities, ensuring clear communication and adherence to agreements.
Study Abroad Coordination:
* Assist with Northwest University students on study abroad opportunities and assist with application processes.
* Assist the director of International Education in maintaining relationships with partner institutions and ensuring program requirements aligning with university policies.
* Track student participation and provide pre-departure orientation for outbound students.
* Assist the director of International Education with marketing and promotion of study abroad opportunities.
Immigration and Compliance:
* Serve as the Designated School Official (DSO).
* Process I-20 forms and ensure SEVIS compliance.
* Keep track of student visa status and notify students of necessary updates or renewals.
* Ensure adherence to federal regulations regarding international student enrollment and employment eligibility.
* Track and update international health insurance enrollment every semester. And maintain a good working relationship with the insurance provider.
Administrative & Marketing Duties:
* Maintain student databases and records in Salesforce, PowerCampus, and other university systems.
* Manage social media and marketing initiatives for international programs, including newsletters, emails, and web content.
* Assist the director of International Education with processing student fees, payments, and invoices.
* Collaborate with the university's marketing team to develop promotional materials for international programs.
* Assist the director of International Education with various projects as needed.
* Oversee student workers and interns.
Education/Experience/Skills
* Bachelor's degree in international education, higher education administration, or a related field (master's preferred).
* Experience in international student advising, study abroad programs, or related fields (Not required, but preferred).
* Strong understanding of F-1 visa regulations and SEVIS compliance (Not required but preferred).
* Excellent organizational, communication, interpersonal skills and teamwork.
* Proficiency in databases and student management systems (Salesforce, PowerCampus, etc.).
* Ability to work collaboratively with students, staff, faculty, and external partners.
* Experience in event planning and student programming.
Working Environment
Work is generally performed indoors in a typical office setting. Frequently required to be in front of a computer screen for long periods of time.
Physical Demands
The functions are usually performed while standing, but may involve some amount of time sitting, stooping, kneeling, bending, crouching, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, climbing, perform repetitive motions of the hands or wrists and other movements. The abilities of seeing, hearing and speaking are also required.
Compensation
Based on education and experience, the position has a hiring range of $20.00/hour to $21.45/hour plus excellent benefits.
