Job Duties
Caldwell University invites applications for a part-time Graduate Business Program Coordinator. Reporting to the Dean of the School of Business and Computer Science, the Graduate Business Program Coordinator plays a critical role in ensuring the success of graduate students, supporting faculty, and driving program growth. This position encompasses recruitment, admissions coordination, student advisement, and administrative oversight. The coordinator will collaborate closely with faculty, staff, and School leadership to enhance the academic experience and maintain program excellence. Job duties include, but are not limited to:
Student Advisement & Retention
- Advise graduate students on course selection, academic progress, and program requirements.
- Conduct follow-ups with students experiencing academic difficulties and recommend support strategies.
- Approve student registration, course add/drop requests, withdrawals, and independent study requests as appropriate.
- Perform graduation audits and ensure students meet degree requirements.
- Organize and participate in graduate orientation events.
- Develop and implement retention strategies in collaboration with appropriate parties.
- Disseminate opportunities for scholarships, awards, and employment to students.
- Discuss and manage probation and dismissal cases with university leadership.
Admissions & Enrollment Management
- Collaborate with Graduate Admissions to review applications and facilitate the decision-making process.
- Conduct applicant interviews as necessary.
- Ensure that students with non-business undergraduate degrees complete the required prerequisite courses before enrolling in graduate business coursework.
- Verify that students have fulfilled all prerequisite courses.
- Maintain records of acceptances, rejections, leaves of absence, and withdrawals in collaboration with the Office of Graduate Studies.
- Work with the School of Business and Computer Science leadership to resolve scheduling conflicts and enrollment challenges.
- Communicate program updates to faculty, staff, and students.
- Assist with reviewing and proofreading promotional materials.
Recruitment & Outreach
- Represent the MBA program at graduate information sessions and recruitment events.
- Oversee targeted marketing campaigns for prospective students.
- Identify opportunities for partnerships with local businesses and nonprofits.
- Promote the MBA program to current Caldwell University undergraduate students, including visits to undergraduate classes.
- Find student internship opportunities; maintain and enhance relationships with internship companies.
- Maintain and enhance alumni relations; represent the program in the community.
- Engage with Caldwell University alumni through email, LinkedIn, and other outreach efforts.
- Track and follow up with prospective students to enhance enrollment efforts.
- Collaborate with Enrollment Management to identify target populations and project enrollment trends.
- Attend professional meetings, career fairs, and conferences to promote the MBA program.
- Maintain active participation in relevant professional organizations.
Program Administration & Academic Oversight
- Serve as a member of the Graduate Academic Foundations Committee.
- Work with the Department Chairs and Dean to develop semester course schedules.
- Assist in faculty staffing decisions for the MBA and MS in Accounting programs.
- Review student course evaluations with the School leadership to ensure instructional quality and program rigor.
- Collaborate with leadership to revise curricula and develop new program offerings.
- Regularly review and update program web pages in coordination with the university’s Web Strategy and Social Media team.
- Ensure catalog updates are accurate and submitted in accordance with publication deadlines.
- Nominate graduate students for academic awards and honor societies.
- Serve on Graduate Awards Committees as needed.
- For online programs, coordinate with online course developers, instructors, and the Director of Online Education to maintain consistency in course objectives and program outcomes.
- Track student success criteria (e.g., internship and job placement).
Experience in graduate student advising, recruitment, or program administration.Strong understanding of graduate admissions and enrollment management. Excellent organizational, communication, and interpersonal skills. Ability to work collaboratively with faculty, staff, and students. Experience with student retention strategies is a plus. Proficiency in Microsoft Office, student information systems, and CRM platforms for recruitment and retention.
