Summary

The Event Project Manager will be responsible for planning, executing, and managing events with a focus on creativity, precision, and collaboration. The ideal candidate is skilled in reading and analyzing Requests for Proposal (RFPs), creating compelling technical proposals, and briefing 2D and 3D designers to bring concepts to life. This role requires expertise in supplier management, BOQ creation, and logistics coordination to ensure seamless execution of events from concept to completion.


Key Responsibilities:


Project Management:

  • Lead the full lifecycle of event projects, from inception to post-event evaluation.
  • Develop and manage project timelines, ensuring all deliverables are met within deadlines.
  • Act as the main point of contact for clients, ensuring clear communication and satisfaction throughout the project.


Proposal Development:

  • Analyze RFPs to identify client requirements and objectives.
  • Develop technical proposals and presentations that align with client needs and brand standards.
  • Collaborate with internal teams to ensure creative, innovative, and feasible event concepts.


Creative Briefing:

  • Brief 2D and 3D designers, ensuring design concepts align with project goals and client expectations.
  • Review design drafts and provide constructive feedback to refine deliverables.


Supplier and Vendor Management:

  • Identify, negotiate, and manage relationships with suppliers, vendors, and contractors.
  • Brief suppliers on project requirements and ensure alignment with event objectives.
  • Oversee supplier deliverables, ensuring quality, timeliness, and adherence to budget.


BOQ Creation:

  • Develop BOQs for each project.
  • Monitor expenses and maintain cost control throughout the event planning process.
  • Provide detailed financial reports and post-event reconciliations.


On-Site Management:

  • Supervise event setup, execution, and teardown, ensuring all aspects run smoothly.
  • Troubleshoot issues as they arise, maintaining professionalism and quick decision-making.


Collaboration and Teamwork:

  • Work closely with internal teams, including marketing, production, and logistics, to ensure cohesive event execution.
  • Mentor junior staff and provide guidance to foster professional growth.
