Our client is a leading investment banking team that is seeking a proactive Executive Assistant/Office Manager to join their team based in Los Angeles.

Salary/Hourly Rate

$50/hr - $55/hr

Position Overview

This Executive Assistant/Office Manager role will initially be remote until the new office space is completed. Reporting to the Director of Investment Banking Administration, the Executive Assistant/Office Manager will provide high-level administrative support to executives, enabling them to focus more fully on leadership and strategic responsibilities. The ideal candidate will exercise sound judgment, demonstrate exceptional communication skills, deliver outstanding customer service, and manage a fast-paced, high-volume workload with precision. Prior experience supporting senior executives in a dynamic environment is essential, as is the ability to interact professionally with internal team members and external clients.

Responsibilities Of The Executive Assistant/Office Manager

  • Oversee clerical, administrative, and business support tasks.
  • Manage incoming calls and route them appropriately.
  • Coordinate complex calendars across multiple time zones.
  • Support internal and external meetings, including catering arrangements, set-up, and clean-up.
  • Organize domestic and international travel logistics and detailed itineraries.
  • Process a high volume of expense reports accurately and efficiently.
  • Manage daily office operations, including mail handling, printing, vendor management, building access, and kitchen supplies.
  • Perform other administrative duties as assigned.

Required Experience/Skills for the Executive Assistant/Office Manager:

  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, and Excel).
  • Experience with CRM platforms and HR systems - training is available.
  • Excellent interpersonal, organizational, communication, and problem-solving skills.
  • Strong attention to detail and ability to prioritize competing demands effectively.
  • Comfortable working in a high-paced environment while managing multiple tasks.
  • Hands-on approach with a willingness to take initiative and support the team wherever needed.

Preferred Experience/Skills:

  • 7 - 10 years related administrative experience.
  • Experience with DealCloud.
  • Workday experience

Education Requirements:

  • High school diploma or equivalent is required.
