About the Role

We’re looking for a sharp, reliable Executive Sales Assistant to support their fast-paced founder and sales team. This person will be essential in keeping sales activities moving forward, ensuring top-tier client communication, supporting financial tracking, and streamlining operational logistics.


👉 The most important trait we’re looking for is someone who is highly organized and can confidently manage upward—proactively helping a busy executive stay focused, prepared, and ahead of schedule.


This is not a “wait-to-be-told” assistant role. You’ll play a key part in helping the business grow smarter, faster, and more strategically—with visibility across operations, sales, and client communications.


Responsibilities

Sales & Client Operations

  • Draft follow-up emails, proposals, and agreements from templates
  • Track leads and manage the sales pipeline in Pipedrive
  • Prep for sales calls (research, agendas, scheduling)
  • Coordinate client handoff and onboarding
  • Support CRM and LinkedIn follow-ups
  • Manage invoicing, payment tracking, and follow-ups (QuickBooks & Stripe)


Executive & Admin Support

  • Manage and optimize CEO’s calendar
  • Monitor and triage email inbox
  • Maintain task lists and project tracking in Asana
  • Coordinate internal and external meeting logistics


Internal Ops & Coordination

  • Use Google Workspace, Asana, Slack, Canva, and Pipedrive
  • Create and update SOPs for repeatable processes
  • Ensure smooth communication across team and clients


You are a fit if you...

  • Are detail-obsessed and highly organized
  • Have 2–4 years experience in executive support, client-facing admin, or sales ops
  • Know how to manage upward and anticipate needs
  • Are confident using QuickBooks, Stripe, and CRMs
  • Write clearly and with warmth
  • Use AI tools like ChatGPT to boost efficiency
  • Are a self-starter who thrives in mission-driven work
  • Have stable internet and a distraction-free work setup
  • Are available for full-time work after a trial period


Bonus points for

  • Experience in coaching, consulting, or personal branding
  • Familiarity with Asana, Slack, Canva
  • Startup or small business background
