Job Description
We are seeking a highly organized, proactive, and resourceful Executive Assistant & Office Manager to join our team. This role will combine executive support for four C-level executives and day-to-day office management responsibilities, ensuring smooth operations in a fast-paced and collaborative environment. You will work closely with the Chief of Staff and the People Team to enable efficiency across the organization and contribute to our mission. This role is for an exceptional multitasker who thrives on juggling competing priorities, with a self-starting mindset combined with strong administrative and project management skills. This role requires a detail-oriented professional who can efficiently manage executive schedules, coordinate complex logistics and ensure smooth office operations while contributing to our mission of advancing electric aircraft technology.
Key Responsibilities
Executive Team Support (60%):
- Provide high-level administrative & coordinating support to our 3 executive founders, including scheduling meetings, managing agendas & calendars, scheduling & coordinating travel arrangements.
- Act as a gatekeeper for the executives, ensuring their time is effectively managed and priorities are aligned.
- Supporting the team by preparing slide-decks and presentations for a variety of business meetings and strategic sessions, and, where requested, minute taking at those meetings.
- Organizing and coordinating team meetings and offsites, in terms of preparation, agenda, presentations and documenting follow-up actions; and ensuring the post-meeting deliverables are assigned to the relevant team members and completed.
- Handle sensitive and confidential information with discretion and professionalism.
- Liaise with key stakeholders, clients, and partners to facilitate effective communication on behalf of the executives.
Office Management (40%):
- Oversee daily office operations, needs and maintenance, ensuring a well-organized, functional, and welcoming work environment.
- Manage the inventory of office supplies & equipment, vendor & supplier relationships and relevant connections.
- Coordinating with the People Operations team on onboarding processes for office-related matters of new colleagues.
- Ensuring compliance with office safety policies, security procedures and systems to support a hybrid work environment.
- Coordinating onsite and virtual meetings, team events and offsite activities, including planning, catering, and materials preparation.
Collaboration With The Chief Of Staff
- Work with our Chief of Staff on our upcoming office relocation project (location to be determined in the Randstad area).
- Assist in implementing and maintaining an efficient document filing and management system org wide
- Contribute to project management efforts by tracking deadlines, deliverables, and action items for cross-functional projects.
- Proactively identify opportunities to streamline workflows and improve operational efficiencies for the executive team.
Experience
- 3 - 5+ years of relevant experience as an executive assistant, office manager, or in a similar hybrid role, ideally in a startup or high-growth environment.
- Proven track record of successfully supporting C-level executives in a fast-paced environment.
- Experience in managing & coordinating complex schedules, travel arrangements, and meetings.
- Experience in other highly regulated industries (e.g. medical, financial or infosec institutions) or strong interest in the aviation and aerospace sector is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), collaboration tools (e.g. Slack, MS Teams, Notion) and other project management & coordination tools.
Desired Qualifications
- Bachelor's degree in business administration, communications, or related field, or equivalent additional working experience.
- Communication: Exceptional verbal and written communication skills in English, with an ability to interact professionally with executives, clients, and team members at all levels. Dutch language skills are a plus.
- Organization: Strong organizational and multitasking skills, with a keen attention to detail and the ability to prioritize effectively in a fast-paced environment.
- Problem-Solving: Ability to work independently and proactively, anticipating needs before they arise. Proactive, solution-oriented mindset with a strong ability to anticipate needs and take initiative.
- Adaptability: Excellent interpersonal skills with the ability to interact professionally with all levels of management and external partners while comfortable working in a startup environment where roles and responsibilities can temporarily scope out.
- Confidentiality: Demonstrated ability to handle sensitive information with discretion and integrity.
