Position Description Advertised Job Summary The Event Manager provides event services for all School of Law events and programs, including commencement, faculty/student conferences and symposia, alumni events, student events, orientation, and special events and programs. The Events Manager is also responsible for coordinating and supporting outside events for approved organizations. The Event Manager works with the various constituent groups of the law school to ensure the successful execution of events through effective communication, attention to detail, adherence to best practices in event management, and compliance with deadlines, timelines, university and law school policies, and the event budget. The successful Event Manager will be creative, well-organized, and detail-oriented, and possess excellent communication and interpersonal skills. The Event Manager reports to the Vice Dean for Student and Alumni Engagement and Strategic Initiatives. Job Related Minimum Required Education and Experience Requires a bachelor's degree in a job related field and 4 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience. Required Certification, Licensure/Other Credentials Preferred Qualifications Five or more years of event planning experience preferred. Excellent negotiation skills and knowledge of the hospitality industry. The ability to think creatively and to think and plan ahead. Knowledge/Skills/Abilities The Event Manager must have excellent organizational, time management, communication, and interpersonal skills and be able to work effectively with a diverse constituency of faculty, staff, alumni, students, and the public. Be flexible to accommodate unpredictable demands and be able to work evenings and weekends when events are scheduled for those days and times. Able to manage multiple tasks, pay attention to details, and meet deadlines while remaining personable and professional. Able to develop and monitor event budgets and expenses. Have an intermediate knowledge of Microsoft Excel, Word, and database software, and the ability to use marketing and registration software such as Mailchimp, Eventbrite, and Touchnet. Be proficient in PeopleSoft and PlanningPod or have the ability to learn the software. Have (or develop) knowledge of USC and Educational Foundation policies and procedures related to events. Possess high expectations for quality, excellent customer service etiquette, and a strong work ethic. Job Duties Job Duty Plan, coordinate, manage, and execute all aspects of all events within the Law School in collaboration with the event owner. Coordinates facility needs for events; obtains services for audio, video, security, parking, catering, staging, photography, invitations/registration, signage, programs, name tags, linens, decor, consumables and other services (including CLE documentation, if necessary) according to the needs of the event owner; manages event travel, hotel accommodations, and transportation for guests and speakers (if applicable). With coordination of the dean and Vice dean of student and alumni engagement, plans and executes regional and out of state events. Essential Function Yes Percentage of Time 30 Job Duty In collaboration with the event owner, the Event Manager is responsible for providing a detailed event planning and execution checklist for all aspects of an event. A planning timeline (including key decision dates) and a responsibility assignment will be included with the checklist for all major events. Additionally, the Event Manager is responsible for providing the event owner a detailed checklist of all services and supplies to be provided on the day of the event and will supervise and manage vendors and suppliers. The Event Manager will coordinate all activities during the event to ensure all services and supplies are delivered and set up as planned. Acts as main point of contact with internal and external stakeholders for all events held at the law school campus to include the new Taylor House. Essential Function Yes Percentage of Time 25 Job Duty Obtain budget information for the event from the event owner at the planning stage of the event, and work with the event owner to stay within budget. The Event Manager will also provide the event owner with estimates from different vendors. Provide the event owner with creative options in venue choices, menu selections, vendors (when choices are possible), and other services with written itemized proposals, staying abreast of the budget. The Event Manager will also provide the event owner with estimates from different vendors. Provide the event owner with a running total of expenses and revenues. At the conclusion of the event, provide a complete, itemized event expense report and or income statement to the event owner and the Vice Dean for Student and Alumni Engagement and Strategic Initiatives. Essential Function Yes Percentage of Time 25 Job Duty Serves as the event registration operator for all events. This includes developing and maintaining an online registration profile, fee collection, registration tracking, refund processing, and providing timely and accurate enrollment reports to the event owner. Serves as a Touchnet coordinator for law school with the Bursar's Office. Essential Function Yes Percentage of Time 5 Job Duty Serves as one of the law school's calendar coordinators by assisting in the calendar reservation process. Essential Function Yes Percentage of Time 5 Job Duty Works with the Communications and Academic Technology departments and the event owner to coordinate marketing and event materials, including invitations, programs, RSVPs, save the date cards, printing, videos, AV needs, etc. Essential Function No Percentage of Time 5 Job Duty Other duties as required.
