Summary

Supervisor: Director of Special Education & Assistant Director of Special Education

Work Year: 12 months

Rate of Pay: Per Collective Bargaining Agreement (Category E starting $26.50 per hour), Benefits Summary/Insurance Premiums

Summary: Under direction, serve as district point of contact for the student registration process, act as the "resident expert" in the use of Skyward SMS for registration, accurately manage data between multiple systems, and perform related work as required.

Qualifications/Experience

  • High school diploma/GED or a minimum of 4 years of similar experience
  • Student management system experience, required
  • Experience using iStar, EasyIEP, SIS, and Skyward or InfiniteCampus student management, preferred.
  • Student registration experience, including Verification of Residency and Skyward or Infinite Campus online registration process.
  • Knowledge and experience manipulating data.
  • Advance database management skills.
  • Advance skill in the use of MS Excel, MS Excel formula and MS Excel pivot table experience.
  • Experience training or possesses the ability to train individuals in the use of Skyward SMS and the registration process.
  • Intermediate mathematical aptitude.
  • Ability to multitask and maintain composure during high-volume periods.
  • Ability to work collaboratively with others to optimize student achievement.
  • Ability to multi-task and remain calm under stressful situations.
  • Communicate positively and effectively with all stakeholders
  • Ability to work as a team and independently.

Responsibilities

  • Serve as point-of-contact and support to school and district personnel as it relates to the registration process and using Skyward SMS for registration and enrollment management.
  • Responsible for overseeing the district registration and verification of residency process which includes approving all EC - 8th grade online registrations.
  • Manage data between multiple systems - iStar, EasyIEP, SIS, and internal SMS.
  • Exit students transferring to a new district in iStar and EasyIEP.
  • File IEP and 504 plans.
  • Register new IEP students; this process includes managing student record transfer from exiting school.
  • Manage and maintain Early Childhood records and rosters.
  • Monitor and maintain the accuracy of student data in SMS.
  • Serve as the designated official records custodian for the district; responsibilities include maintenance, care and security for all school student records (excluding cumfile and health file).
  • Facilitate student special education record requests for exiting students; send new school and file appropriate historical records for D135 reference.
  • Positively and effectively interact with school personnel, parents, and other districts.
  • Collaborate with fellow data support specialist.
  • Provide support to department administrators.
  • Support district office administration with training to administrators and staff on the student management system, registration, and verification of residency process.
  • Other duties as assigned by the Department of Student Services.

  • Upper Body Mobility: use hands and fingers to feel, grasp, and manipulate small objects; manipulate fingers, twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head.
  • Lower Body Mobility: to bend at waist; stoop; twist and turn torso.
  • Strength: to lift, push, pull and/or carry objects that weigh as much as 25 pounds on a frequent basis.
  • Environmental Requirements: encounter constant work interruptions; work cooperatively with others; work independently; work indoors.
  • Mental Requirements: read, write, understand, interpret and apply information at a moderately complex level essential for successful job performance; business math skills at a high school proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copying, comparing, compiling and coordinating information and records.
