Position Overview
The
Education Programming Certification Coordinator is the main contact internally and externally with all Merrithew® certification administrative needs. Responsibilities include the administration and exceptional support to Merrithew students, Certified Instructors and Training Centers throughout the certification process. The Certification Coordinator also ensures timely and accurate examination results are delivered to students. This role reports to the Senior Manager, Education Programming.
Major Responsibilities
- Coordination of proctored exams with students and assigned proctor. Ensure students and proctor receive accurate and timely information. Ensure exam paperwork is sent on time to the proctor prior to student’s exam.
- Oversee the reevaluation process. Screen students for reevaluation process, provide administrative information to the student and internal/external partners, enter reevaluation results in Merrithew® EMS correctly, send result letters and certificates to students.
- Coordination of the IT exam standardization process. Assigning video exam to auditors, ensure students receive accurate and timely information, provide IT feedback to IT support coordinator
- Ensure Internal exam records and trackers of all Merrithew exams including Corporate Training Center (CTC), LTC, Hosted and Proctored are recorded accurately and filed to be marked with assistance from fellow Education team members.
- Mark written examinations correctly and efficiently, and when required assign exams to be marked by Internal Instructor Trainers.
- Enter all Exam results in Merrithew EMS accurately, send exam result letters and certificates to students. Exam results should be sent out within 3-4 weeks of the examination date or dependent on when head office receives the exam.
- Co-manage the Exams@ email inbox
- Update client files in EMS and CRM systems
- Update student/instructor qualifications when required, such confirmation of completion of the STOTT PILATES® Injuries and Special Populations Course, and send Full Certification results letters and certificates.
- Provides support to students and Certified Instructors with additional course/exam/education questions.
- Review Instructor Trainer and/or Student video submissions to ensure all content is viewable prior to assigning, coordination with relevant internal teams
- Assist internal and external partners with general inquiries
- Assist internal teams with student qualifications, eligibility and exam inquiries
- Complete invoicing, payment processing and Tracking for Hard Copy Certificate requests
- Outreach to Students completing exams at the Corporate Training Center for permission to film practical portions of exam for internal training purposes
- Identify possible Instructor Trainer candidates based on examination results.
- Other projects/duties as assigned. Expectation to be a team player and assist team members when needed to help the betterment of the overall Education Department
Qualifications
- University or College Degree in Business Administration and/or a related field
- Minimum of 1-2 years Administration/ Customer Service experience
- Strong project and time management skills with demonstrated success working under pressure and adhering to deadlines
- Strong analytical and problem-solving skills
- Strong attention to detail and highly organized
- Strong conflict resolution skills
- Ability to manage a large volume of different tasks efficiently
- An energetic, go-getter attitude with strong work ethic and professionalism
- Excellent skills in Excel, PowerPoint, Word, Outlook, Filemaker Pro or other database system
- Additional languages, spoken and written, are a definite asset
