Athlete Within is a premier fitness and wellness facility dedicated to empowering individuals through chiropractic care, personal training, massage therapy, Pilates, shockwave therapy, and ARP therapy. Our mission is to help clients achieve their health and performance goals through personalized care and expert guidance.

We are looking for an organized, detail-oriented, and customer-focused Assistant Office Manager to support our daily operations, and ensure a seamless experience for both patients, clients and staff.

Position Overview

The Assistant Office Manager plays a vital role in keeping our facility running smoothly. This person will assist with front desk operations, scheduling, client communication, billing, and administrative tasks to support our team of trainers, chiropractors, and therapists.

Responsibilities

Front Desk & Client Experience

• Greet clients with a warm and professional attitude
• Assist with scheduling and rescheduling appointments using Jane (our booking platform)
• Handle client check-ins, payments, and inquiries
• Maintain a clean and welcoming facility at all times
  
  

Administrative & Office Support

• Manage email and phone communication with patients, clients and employees
• Process invoices, payments, and insurance claims
• Assist with daily financial reconciliation and reports
• Keep digital records organized and up to date
  
  

Team & Facility Support

• Coordinate schedules for Doctor's, trainers and therapists
• Assist with ordering office and facility supplies
• Ensure compliance with company policies and procedures
• Support special projects and marketing initiatives as needed
  
  

Who We’re Looking For

• Experience in office administration, reception, or customer service (preferably in a wellness, fitness, or medical setting)
• Strong communication and interpersonal skills
• Proficiency in scheduling software (Jane or similar platforms is a plus)
• Detail-oriented with excellent time management skills
• Marketing and/or social media skills preferred
• Ability to multitask and stay organized in a fast-paced environment
• Passion for health, wellness, and client care
