What should your secretary’s cover letter include?

Your secretary's cover letter should portray that you are capable of preparing reports, greeting visitors and clients, and performing all the duties that keep an office running. It should also be laid out professionally and highlight your most valuable achievements.

Start your cover letter by addressing it to the hiring manager or the contact you are sending the letter to. Our article on how to address a cover letter goes into more detail on how to display this information. You will then choose an appropriate salutation.

As for the body of the letter itself, you will need an introduction, a skills and value section, as well as a closing. We will cover more details about each of these areas in the following paragraphs.

What can you write in the introduction of your cover letter?

The introduction of your cover letter is very important. Not only does it immediately show a hiring manager what experience level you have, but it also gives you a chance to show how excited you are about the opportunity.

In this paragraph, you should start by immediately highlighting one or two of your top skills and how they can benefit the role you are applying for. Some examples of the skills you might include are administrative support and customer service. You can also include how many years of experience you have as a secretary. You can then further break down those skills in the cover letter body, which follows the introduction.

Secretary Cover Letter Introduction Example

Dear Mr. Alexander Hawthorne

In my search for a position where I can leverage my experience in administrative support along with my customer service skills, I was pleased to find Evergreen Enterprises’s opening for a Secretary. Eager to learn more about this opportunity, I have enclosed my resume for your review.

What should be mentioned in the cover letter body for a secretary vacancy?

In the body of your cover letter, you’ll want to expand on your skills and achievements. Remember, the goal should be to show a hiring manager that you are the perfect candidate for the position they have open right now.

Breaking the body into three sections can help make this easier:

  1. Why you? What is it about your specific set of skills and achievements that makes you the perfect candidate for the open secretary job? Have you held any prestigious secretary roles in the past? Do you have unique skills that make you stand out as a secretary? What administrative projects have you worked on?

  2. Why here? Now you need to consider what it is about this specific company that excites you the most. Why do you want to work there? How will your skills benefit the company? What will you be able to bring to this company’s secretary role that other candidates won’t?

  3. Why now? You should also consider why this particular position is the right one for you right now. How have the skills you’ve gained over your career as a secretary prepared you for this role? What goals will you have while working in this role and what additional skills will you gain?

Secretary Cover Letter Body Example

While completing my degree at Rowan University, I served as Office Assistant for the Academic Success and Disability Success Center. Currently, I am the point of contact for students and faculty at the Writing Center where I schedule appointments, complete administrative projects, and ensure a comfortable and inclusive environment for students.

I would bring the following strengths to your office administration team:

  • Continually meet deadlines using excellent prioritization and time management skills.

  • Professionally handle sensitive and confidential information.

  • Effectively communicate with managers, staff, and customers.

How to write a cover letter closing

The closing of your cover letter is where you seal the deal and get the hiring manager to call you for an interview. Two main items should be included in your cover letter closing:

  • Position your skills for the open role. Be sure to tie the skills you’ve mentioned in your letter back to the open role. “Drawing from my proven history of delivering exceptional administrative support, I am poised to make an immediate impact as a secretary within the [Company Name] team.”

  • Include a Call to Action. Ask the hiring manager to contact you for an interview and express your gratitude for the opportunity to close out your letter. “I am eager to expand on my proficiency in [specific secretary skills] and look forward to hearing from you to arrange an interview. I appreciate the opportunity.”
