Summary

Overview

Under the direction of the Director of Compliance, the Yardi Affordable Housing Systems Specialist is responsible for developing technical solutions to business problems while providing support for existing Yardi Affordable software applications.


The Yardi Affordable Housing Systems Specialist will conduct all business in accordance with Gates Hudson’s established policies and procedures and will assist in the implementation of Yardi products to enhance operational efficiency and data integrity. While providing support to end users, the Yardi Affordable Housing Systems Specialist is to ensure the properties are following local, state, and Federal laws and regulations, including the Landlord/Tenant Act, Fair Credit Reporting Act, Fair Housing, LIHTC and HUD Handbook 4350.3.



Responsibilities

Systems Support & Administration

•Provide front-line support for Yardi Affordable users across the organization. Escalate unresolved issues for timely resolution.

•Serve as a liaison with Yardi to identify, research, and resolve system-related issues.

•Support 3rd-party software applications that interface with the Yardi Affordable system.

•Respond to user inquiries via email, Helpdesk and phone from both site and corporate office employees.



Project Management & Process Improvement

•Develop recommendations to improve processes, efficiency, and Yardi Affordable system practices.

•Document business requirements, define project scope and objectives, and formulate system plans aligned with business goals.

•Monitor emerging Yardi applications and upgrades, recommending enhancements based on business needs.



Testing & Implementation

•Coordinate and plan all phases of the testing lifecycle: test case development, execution, and defect remediation.

•Assist in the testing and rollout of new Yardi Affordable features and system functionality.

•Support the development of new reports and workflows to increase operational efficiency.

•Serve on the team assigned to set up new entities and load data during acquisitions.



System Administration & Data Integrity

•Assist with Yardi system administration, ensuring data accuracy and system security.

•Enforce system security standards, configurations, and best practices.

•Oversee system customizations, configurations, and continuous improvements.

•Provide support for creating new entities and data migration during property acquisitions.

•Maintain data integrity when uploading housing documents and making lease/ledger adjustments.



Compliance & Reporting

•Assist in reconciling HAP (Housing Assistance Payment) subsidy activity and related transactions.

•Assist with ledger and lease charge corrections and post HAP payments.

•Assist in uploading housing documents and adjusting lease charges and ledgers accordingly.

•Support TRACS submissions as needed.



Training & Documentation

•Assist in training new employees in Yardi software usage and functionality.

•Provide ongoing training to staff on new features and system upgrades.

•Promote a culture of continuous learning and adaptation to evolving systems and tools.

•Develop and maintain detailed system documentation, SOPs, and technical guidelines.


Qualifications

EXPERIENCE

•Minimum of three (3) years of experience in property management software packages compliance monitoring of affordable and LIHTC multifamily housing properties.

•Prior experience managing and directing the work of others.

•Proven ability to manage multiple projects simultaneously while meeting deadlines.

•Demonstrated ability to take ownership of projects and work independently in a fast-paced environment.

•Experienced in adapting to shifting priorities and dynamic work requirements.



EDUCATION & TRAINING

•Extensive knowledge of LIHTC and HUD regulations.

•Understanding of IRS 8823 Guide and HUD Handbook 4350.3.

•Hands-on experience with compliance-related training and communicating with executive leadership and owners.

•Familiarity with property management systems; experience with Yardi software is a plus.

•Willingness and ability to develop advanced knowledge of new programs and systems as needed.



SKILLS & COMPETENCIES

•Strong written and verbal communication skills.

•Exceptional communication and presentation abilities, including executive-level interactions.

•Intermediate to advanced level Proficient in Microsoft Office Suite: Outlook, Word, Excel, PowerPoint (intermediate to advanced level).

•Highly organized with strong attention to detail and adherence to structured processes.

•Self-motivated, proactive, and capable of working both independently and as part of a team.



PHYSICAL REQUIREMENTS

•Position requires use of telephones and computers.

•Candidate must be able to climb stairs when entering the property management office.

•Candidates must be able to walk apartments and grounds including steps.

•Occasionally it requires lifting 20 pounds or less.



DRIVING REQUIREMENTS

•Frequent need (20% to 25% of the time) to utilize personal transportation to inspect apartment community and surrounding neighborhood, make trips to the back and visit the corporate office.

•Occasional use of golf carts may be necessary.

•Must have valid driver’s license and automobile insurance.
