Key Responsibilities:
• Check and respond to emails promptly and professionally, ensuring effective communication with clients and team members.
• Handle calls and inquiries with professionalism and empathy, offering ongoing client support and addressing concerns.
• Manage calendars and schedule appointments for staff or clients, coordinating meetings and consultations.
• Assist in general administrative tasks such as processing payments and maintaining client records.
• Oversee the intake process, including collecting necessary information from clients and entering it into the relevant systems.
• Maintain and update booking and scheduling software, including appointments, client information, and service offerings.
• Manage and update client information within the system, ensuring confidentiality and compliance with privacy regulations.
• Assist with other administrative duties as assigned, contributing to team efforts and ensuring smooth operations.
• Ensure smooth communication between clients, team members, and service providers.
Required Qualifications:
• Proven experience as an virtual Medial Assistant, Administrative Assistant, or in a similar role.
• Strong organizational skills with the ability to manage multiple tasks and meet deadlines efficiently.
• Excellent communication skills, both verbal and written, with a professional and empathetic approach.
• Strong knowledge of US medical billing systems and insurance credentialing.
• Experience of patient scheduling and appointment.
• Experience with scheduling software and administrative tools (e.g., Microsoft Office Suite, Google Suite, scheduling tools like Calendly, and CRM software).
• Strong attention to detail and the ability to maintain accurate records.
• Experience working in a client-facing role and managing client relationships.
• Ability to maintain confidentiality and uphold ethical standards.
• Comfortability with online tools and working in a paperless environment.
