The Undergraduate Program Assistant plays a key role in providing administrative support to academic advisors, recruiters, and student engagement staff, ensuring seamless operations. About The Role

The Undergraduate Program Assistant supports Arts Central in the Faculty of Arts and Social Sciences (FASS) by providing essential administrative support for academic advising, student recruitment, and engagement initiatives. This role ensures the smooth operation of student services by managing communications, scheduling events, maintaining records, and facilitating collaboration between faculty, staff, and students. Additionally, the coordinator supports the Undergraduate Curriculum Committee, assisting with meetings, documentation, and curriculum-related processes.

This position plays a key role in advancing FASS’s strategic priorities by enhancing student experiences, streamlining administrative processes, and supporting recruitment and retention efforts. The coordinator contributes to curriculum development projects, outreach initiatives, and student success programs, working closely with advisors, recruiters, and student engagement staff to provide seamless support. Proficiency with databases, scheduling tools, and Microsoft Office is essential. Qualifications

High school graduation and general courses or training of moderate duration (one semester or equivalent) in word processing, spreadsheet and database applications and office procedures. 2 years of related experience. An equivalent combination of formal education, certificate/program of study and experience is acceptable.

  • Strong Communication Skills: Excellent verbal and written communication abilities, with experience in providing administrative support to students, faculty, and external stakeholders. Must be comfortable engaging with the public and delivering clear information in a professional and friendly manner.
  • Organizational and Time Management Skills: Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment. Strong attention to detail is essential for scheduling, coordinating events, and managing administrative tasks.
  • Proficiency with Office Tools and Software: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), with the ability to learn new software tools and databases. Experience with scheduling tools, databases, and virtual communication platforms is preferred.
  • Problem-Solving Abilities: Ability to identify issues, think critically, and find solutions quickly. Comfortable handling inquiries and resolving challenges with a focus on student satisfaction and administrative efficiency.
  • Collaborative Teamwork: Strong team-oriented approach, with the ability to work closely with other staff members, faculty, and students to support various department functions, including recruitment, advising, and curriculum development.
