The Transportation Dispatcher is responsible for managing transportation service requests from internal and external customers and ensuring timely communication and coordination with drivers across assigned regions. This role involves dispatching, scheduling, administrative support, route coordination, cost management, and other related duties to ensure the efficient operation of transportation services.
Specific Essential Job Duties
- Promptly answer calls from internal and external customers for service requests.
- Dispatch calls to drivers as they are received, considering factors such as arrival/departure times, locations, and customer needs to optimize cost efficiency and response speed.
- Oversee the scheduling and coordination of transportation routes, ensuring timely and accurate services.
- Troubleshoot and resolve customer issues promptly and professionally.
- Maintain courteous communication with both internal and external customers to ensure customer satisfaction.
- Provide regular updates and information to customers regarding transportation status as requested.
- Prepare reports for management from as required.
- Assist with general office tasks and administrative duties as needed.
- Provide dispatching services on-call, including during evenings, weekends, and holidays as required.
- Manage urgent dispatch needs and resolve problems quickly and effectively.
- Abide by company HSEQ policies and procedures.
- All other duties assigned.

Qualifications & Requirements
- High School Diploma or GED required.
- College courses highly desired; college courses in business management are highly desirable.
- A minimum of 2-4 years of experience as a dispatcher, preferably in passenger transport or logistics.
- Previous verifiable experience handling duties in the passenger transport business.
- Experience in the marine agency field is helpful but not required.
- Strong organizational skills with the ability to handle multiple tasks and priorities in time-sensitive situations.
- Proficient in Microsoft Office Suite (Outlook, Excel, Word).
- Heavy data entry skills are a plus.
- Excellent written and verbal communication skills, with the ability to interact effectively with all levels of the organization.
- Strong problem-solving abilities and a customer service-oriented mindset.
- Experience managing people and ensuring effective team coordination.
- Type and talk simultaneously, having excellent phone and email communication skills.
- Comfortable using phones, headsets, and computer systems to manage dispatching functions
- Must be able to work daily on call as needed, including some weekends.
- Must be available for after-hours, on-call dispatching as scheduled.
