Job Description


As a Training Administrator, you will manage training documentation, ensure compliance with quality standards, and maintain accurate records in the Learning Management System (LMS). This role demands strong attention to detail, bilingual proficiency in English and Spanish, and familiarity with pharmaceutical OTC industry regulations, ensuring training processes align with industry and compliance requirements.

The Qualifications We Seek


Education & Experience


  • High School Diploma required (Associate’s or Bachelor’s degree preferred).
  • Minimum 2 years of experience with standard concepts, practices, and procedures in the pharmaceutical OTC industry.


Tech Stack


  • Minimum 3 years of experience in Learning Management Systems (LMS) for training administration.
  • Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Oracle and Agile for data and document management.
  • Document management and compliance tracking tools.


Technical Skills & Competencies


  • Bilingual proficiency in English and Spanish (required).
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Experience with Oracle and Agile software (preferred).
  • Strong proofreading skills in English and Spanish for spelling and grammatical accuracy.
  • Excellent organizational and project management skills to handle multiple tasks efficiently.


Your Daily Tasks


Training Documentation & Data Management


  • Enter and maintain training data in the Learning Management System (LMS).
  • Upload completed training documents to the LMS to ensure compliance with documentation requirements.
  • Create and distribute attendance sheets for training sessions upon request.
  • Review and update job competencies based on discussions with Quality Management and department managers.
  • Develop training documents for new hires as needed.


Reporting & Compliance


  • Generate and distribute regular training status reports to site and quality management teams.
  • Ensure training records are accurate, up to date, and compliant with industry standards.
  • Proofread training materials in English and Spanish for accuracy and grammatical correctness.
  • Assist the Corporate Quality Systems Manager with additional training-related tasks as required.
