Introduction

The Department of Health Services (DHS), Southern Wisconsin Center (SWC) is recruiting for an Administrative Assistant for the Training Department. This position will work 7:45am – 4:30pm Monday-Friday.

SWC is a state run, licensed and certified Intermediate Care Facility for Individuals with Intellectual and Developmental Disabilities (ICF/IDD). Position Summary

Responsibilities

As the Training Administrative Assistant, you will provide administrative support for the Training Department which includes comprehensive training and certification coordination for program areas including Residential Services, Nursing Services, and Management Services. Responsibilities include:

  • Extensive contact with operating units across campus and in the community
  • Handling confidential information
  • Developing complex databases to maintain program information and preparing statistical data analysis and reports.
  • Providing program support to Human Resources, Communications Center, Scheduling department, and Center for Residential Services Program (CRSP) as needed.
  • Answering calls, greeting customers, and working cooperatively as a team player assisting other department staff with program support assistance as directed.

In this position, you will also produce and publish electronic training programs with the Adobe Presenter (Connect) software system. You will also assign and schedule staff members to mandatory training classes using an electronic scheduling software.

Salary Information

The starting pay is $21.66 per hour, plus excellent benefits. A 12-month probationary period is required.

Pay for current or former state employees will be set based on the rules that apply to compensation for the applicable transaction. This position is classified as an Operations Program Associate and is in pay schedule and range is 02/11.

Job Details

Qualifications

Minimally qualified applicants will have all of the following:

  • Experience performing administrative support duties in an office setting such as creating and maintaining filing systems, preparing reports or correspondence, taking meeting minutes, etc.
  • Experience using Microsoft Office Suite or similar software to perform duties such as creating documents, developing and maintaining spreadsheets, maintaining trackers, etc. An excel test will be required.
  • Experience providing customer service to internal and external customers by providing information, answering questions, etc.

Well-qualified applicants will also have one or more of the following:

  • Experience using Indeavor scheduling system or employee scheduling system to enter or update workforce schedules.
  • Experience using tools such as Adobe Connect, iSpring or audacity software systems into Cornerstone learning management system to create online training modules, training memos, etc.
  • Experience working with a training program. Examples of work include creating training materials, providing classroom instruction, creating or updating class agendas, etc.
