ROYAL ADVENTURES is looking for a part-time tour manager/travel coordinator (3-4 days per week) with exceptional customer service skills and a passion for educational travel. Our office is in San Ramon, CA. Flexible hours and a hybrid work environment with a remote work platform are offered.

Royal Adventures specializes in educational group travel programs for some of the most prestigious organizations in the United States such as art and science museums, astronomical organizations, conservation organizations, alumni, and university groups. TOUR PROGRAM MANAGER


This is an administrative position that requires excellent organizational skills, the exercise of discretion and independent judgment and thinking, great attention to detail, and working courteously and enthusiastically with a variety of people. A solicitous and sunny disposition goes a long way. The focus is on managing several programs a year from the initial plan and budget to successful conclusion and evaluation. Responsibilities include, but are not limited to, the following:


  • Excellent writing skills. Writing reservation confirmation letters, and preparing other written materials –such as Brochures, Travel Guides, Reading Lists, and other trip materials for participant mailings.


  • Managing lecture arrangements and/or other promotional arrangements with clients (view our website for a list of some of our clients.)

 

  • Handling all phone, e-mail, and written contact with participants and inquirers.

 

  • Making airline reservations, trip extension requests, and other travel arrangements for participants and leaders. Experience with software systems is a plus.

 

  • Making hotel and other land arrangements, including some negotiations with ground operators in different countries.

 

  • All trip bookkeeping, including participant payments, hotel payments, air payments, collecting commissions, invoicing, etc., ability to learn computerized accounting program.

 

  • Coordinating with Tour Directors and client representatives, briefing Study Leaders, and preparing daily schedules for the trip.

 

  • Attending promotional/educational lectures, trip orientations, trip fairs, and tour promotions, and other events as required. Some travel to out-of-state clients may be required.

 

  • Assisting in researching and developing new trips. You may have the opportunity to travel to foreign countries to scout or to accompany a group program.

 

  • Writing itineraries, marketing materials, and trip brochures including following up with graphic designers and printers.

 

  • Ability to use graphic software programs such as Adobe is a plus, but not required.

 

 REQUIREMENTS FOR THE POSITION

 

1)  Excellent written and oral communication skills are requisite. You must have the ability to write in a variety of styles as appropriate.


2)  Great organizational skills. Meticulous attention to detail and the ability to work effectively with a variety of people. The ability to manage multiple priorities is a must.


3)  Exception customer service skills are a must.


4)  Upbeat personality and able to thrive in a collaborative team environment.


5) Interest in what we are doing. Willingness to make a commitment and to have long-term involvement.


6) Outstanding office skills, including word processing (MS Word), MS Excel, accounting software, online tour management software, and keyboard typing 40+ wpm., excellent phone manners, managing deadlines, and details under pressure.


7) Ability to work with computer database management and accounting systems (or willingness to learn). Knowledge of the airline ticketing process (or willingness to learn) and the ability to work with consolidators and airlines.


8) Excellent with bookkeeping, financial calculations, and working with numbers.


9) Quick to learn, enjoy problem-solving, with the ability to achieve results with maturity, finesse, and charm.


10) General knowledge of the travel industry and travel experience is a plus but not required.


11) Achievement orientation and a sense of humor are invaluable.


12) Flexibility and a good attitude are a MUST.

 

13) Must be able to travel.


14) Ability to work independently, proactively, and under time pressure with minimal supervision.
