Responsibilities As the Tenant Service Coordinator with Hines, you are responsible for supporting the Property Management Office in coordinating the day-to-day delivery of property services while emphasizing a positive response to tenant concerns and delivering outstanding hospitality. Responsibilities include, but are not limited to: Hospitality: * Be the first point-of-contact in the Property Management Office (PMO). * Maintain a high level of customer satisfaction, responding to needs in a timely manner. * Work together with property personnel and third-party service providers to maintain the Hines Hospitality Standards. * Coordinate property engagement and service offerings that are aligned with Hines' service level standards (e.g. lobby exhibits, special events, special programs, holiday events, tenant breakfasts, gifts, and promotions). Operations: * Manages assigned service contracts and projects under General Property Manager supervision and in accordance with the firm's leadership principles. * Coordinate move-in/outs, facilitate completion of any punch list items, and distribute checklist to management team. * Assist Property Manager and Property Accountant on collection efforts for tenant receivables. * Follow-up on daily tenant service requests (e.g. service calls and special service requests). * Monitor dock log regarding deliveries and coordinate information flow between security, engineering, construction manager, and tenant (client). * Assist in developing, producing, and distributing building communications including transmittal letters; tenant mailing and notifications (e.g. common area building projects). * Assist in preparation of Quarterly Ownership Reports and Annual Plan. * Support Security Staff when needed. * Manage and promote amenity offerings (if applicable). * Maintain and update vendor and other files or lists. * Acts as a team member with all employees of the management staff. * Comply with all company and regional policies. * Carry out other duties as assigned by manager. Qualifications Minimum Requirements include: * Bachelor's degree or currently enrolled and two years completed, from an accredited institution. * Two or more years of experience in customer service or relations. * Proficiency in Microsoft Office software. * Passion for working with people, creating amazing experiences, and leading with a hospitality mindset. * High degree of emotional intelligence with proven ability to think creatively in all job responsibilities. * Excellent interpersonal, verbal, and written communication skills utilizing proper punctuation, grammar, diction, and style. * Eager to be a part of a fast-paced and dynamic work environment. * Solution-oriented with strong analytical skills. * Maintains composure and professionalism at all times. * Establishes a cooperative working atmosphere among staff. * Exchanges ideas, information and opinions with personnel and Property Management to formulate policies and programs and/or arrive jointly at decisions. * Ability to understand and read newspapers, periodicals, journals, and manuals to remain conversational and knowledgeable of local news and events. * Ability to perform numerical and financial calculations. * Ability to meet highest attendance and punctuality requirements. * Work indoors approximately 95% of the time and outdoors 5% of the time. * Use olfactory, auditory, and visual senses to inspect building(s) and detect emergency alarms. * On occasion, perform physical inspections of the property which may include climbing up and down stairs or accessing restrictive openings. * Ability to lift up to 25lbs. * Though occurrences are rare, be accessible 24 hours a day in case of an emergency and perform on-site operations during natural disasters. * Transfer properties and work overtime as business needs deem appropriate. * Compensation: $65,000 - $75,000 Closing At Hines, we strive for excellence as a leading global real estate investment manager, driven by our by our belief that real estate is fundamentally about people.
