Job Summary:

Property Management Advisors is looking for a Tenant Coordinator to join our team in our Santa Ana, CA office! As a Tenant Coordinator, you will be providing support to the property management, leasing, and development departments. The ideal candidate will have excellent communication, written, organizational, and tenant coordination skills as well as the ability to manage multiple projects and priorities while taking a leading role in ensuring each tenants’ space delivery and occupancy dates are met. Essential Functions:

  • Manage & coordinate each tenants’ lease cycle from execution to opening, ensuring timely space delivery and occupancy.
  • Track and manage tenant lease dates, contingencies, and deliverables; keeping Team Members updated on progress and challenges.
  • Abstract Leases and create any billing adjustments needed. Work with Accounting to assure accurate input into Yardi.
  • Ensure timely correspondence with tenants, including but not limited to move-in notifications, turnover letters, and any additional notices required by the lease.
  • Manage turnover notification process, including notifications to internal departments such as Property Manager, Asset Manager and Leasing Team Members.
  • Communicate and document any project/events updates to tenants to ensure they are aligning their lease obligations within the project schedule.
  • Work with Development Team, Property Managers, Leasing and other departments to keep them apprised of tenant changes and status.
  • Prepare and issue formal notices and turnover letters to tenants.
  • Work with Tenant and utility provider to get utility connections to the space and service is transferred in Tenant’s name.
  • Collect and review tenant improvement documents and assignments documents in accordance with lease requirements, ensuring compliance with lease agreements before routing them for departmental approval, while tracking payment status and providing tenants with updates.
  • Administer all procedures required with tenant move ins and move outs.
  • Create Report to track activities and ensure follow-up is timely on all outstanding issues.


Qualifications:

  • Associate’s degree in related discipline or equivalent work experience.
  • Strong lease administration skills: ability to review, interpret and abstract retail leases while tracking key obligations.
  • Strong written and verbal communications skills with tenants, vendors, and internal team members.
  • Strong organizational and time management skills are necessary to handle multiple projects and prioritize tasks effectively.
  • Attention to detail for managing multiple lease deadlines and ensuring accuracy.
  • Proactive problem-solver, capable of address lease issues, tenant concerns, and project challenges efficiently.
  • Strong Excel & Word knowledge
  • Yardi experience preferred
