We are currently looking for an enthusiastic Team Assistant to join our international team!

Based in our company's headquarters offices in Ghent, you will

• Assist our global management team.
• Be the point of contact for the team in organizing and coordinating meetings, events, appointments, and travel arrangements.
• Coordinate activities between departments and external parties.
• Research and book travel accommodations, ensuring cost-effectiveness and adherence to company policies.
• Develop and maintain a calendar of company events and ensure timely communication to all stakeholders.
• Prepare and edit correspondence, communications, presentations, and other documents as required to facilitate effective communication an collaboration between management and staff.
• Assist with special projects and initiatives led by the management team.
• (Ghent) office and facility support.
• Ensure a clean, professional, and welcoming office environment. Manage the daily operations of the facility, including coordination of maintenance and cleaning services.
• Perform general administrative duties such as answering phones, responding to emails, greeting visitors.
• Manage office supplies inventory, order new supplies when necessary, and ensure the office is well-organized.
• Coordinate the organization of office events and weekly lunches.

Is this you?

• Bachelor’s degree in Business Administration or related field.
• 5+ years of experience in a similar role.
• Fluency in English and Dutch. Additional languages are a plus.
• Excellent organizational and time-management skills.
• Flexibility to adapt to changing priorities and work demands.
• Strong verbal and written communication abilities.
• Proficiency in MS Office and other relevant software (e.g., travel booking platforms).
• Work independently and prioritize tasks effectively.
• Strong attention to detail and problem-solving skills.
