Job Overview

The Production Control Import Coordinator is responsible for managing Ocean and Air import schedules, ensuring timely delivery from overseas factories to U.S. warehouses, and maintaining smooth supply chain operations. The role requires frequent communication with overseas suppliers, freight forwarders, and warehouse staff to secure proper inventory levels and meet customer deadlines.

Key Responsibilities

Daily Tasks

  • Manage overseas material procurement and monitor incoming shipments.
  • Track delivery statuses and coordinate with freight forwarders for on-time deliveries.
  • Update shipment schedules and ETAs in internal systems to ensure accurate information sharing.
  • Perform receiving entries and verify data in the internal system and warehouse system.
  • Address delivery shortages and resolve operational issues.
  • Respond promptly to inquiries from freight forwarders.
  • Support the Senior Import Coordinator with administrative tasks.

Weekly Tasks

  • Confirm and track all Air shipment requests and communicate updates with overseas factories.
  • Update and maintain tracking sheets for Air shipments.
  • Prepare weekly group meeting documents and share updates with the team.

Monthly Tasks

  • Track and summarize Ocean and Air freight invoices, report responsible parties, and support month-end closing.
  • Participate in physical inventory activities and resolve variances.
  • Report inventory issues to the Department Manager.

As Needed

  • Update product master data to ensure accurate system information and resolve discrepancies.
  • Monitor lead times and suggest alternative solutions to address challenges.
  • Communicate effectively with factories in Japan, Vietnam, China, and the Philippines.
  • Attend demand review meetings facilitated by the Sales team.
  • Propose workflow improvements and expense reduction ideas.
  • Act as a backup contact during other team members’ absences.

Job Requirements

Must-Have

  • College degree or equivalent experience in production planning or freight forwarding.
  • Knowledge of import/export logistics and inventory management.
  • Strong organizational skills, attention to detail, and ability to prioritize tasks.
  • Ability to work under pressure and maintain accuracy in high-stress situations.
  • Strong interpersonal and communication skills across various media (email, chat, phone, etc.).
  • Intermediate proficiency with Microsoft Windows, applications, and ERP systems.
  • Fluency in written and spoken Japanese is mandatory.

Preferred

  • 1+ year of experience with an automotive manufacturing supplier or distributor.
  • Work experience with Japanese automotive suppliers is a plus.
  • Familiarity with EDI operating systems (e.g., C-Core, SAP, WMS, etc.).
