POSITION: Special Projects Coordinator - Elementary Program
REPORTS TO: Deputy Chief Program Officer - Elementary
POSITION TYPE: 12-month
START DATE: Immediate
COMPENSATION: $24.34 - $28.60/hour, Home Office Grade 3

THE OPPORTUNITY
YES Prep needs a dynamic Special Projects Coordinator for the Elementary Programs Team with a robust set of experiences, to make our mission a reality. To put it simply, you will maximize the efficiency of the Elementary Program Team through the guidance of the Deputy Chief Program - Elementary Officer by providing high-level administrative, project, and operational support.
THE ROLE
When you join the YES Prep team, some of the exciting work and responsibilities will include:
Manager Support
- Managing manager's calendar, including coordinating meeting invites, setting up check-ins, organizing collaboration meetings, scheduling campus observations, and rearranging calendar to accommodate non-negotiable requests;
- Coordinating travel for manager (working with travel agent, ensuring payment is made, etc.);
- Drafting emails and system staff, family, and external stakeholder communication on behalf of manager and team;
- Preparing reimbursements and reconciling P-Card statements for manager;
- Assisting manager in hiring exceptional teammates, including screening candidates, communicating with candidates, communicating with the YES Prep Talent Team, and supporting logistics and planning to host candidates for selection day(s);
- Analyzing and preparing data for manager to support meeting participation and information sharing;
- Supporting manager in leading cross-functional collaboration meetings with leaders, campus staff, external stakeholders, etc.;
- Developing systems to help manager prioritize actions, meetings, and projects that will ensure focus on organizational and school goals.
Projects
- Supporting event coordination and logistics, including student, family, and staff events and meetings;
- Assisting manager in planning team retreat logistics and execution, including preparing meeting materials, coordinating with presenters, readying rooms and technology, ordering meals as needed, setting up surveys to capture feedback on the event, etc.;
- Providing support in executing system-wide strategies that promote goal achievement and student outcomes (campus support, campus visits and observations, data dives, etc.);
- Overseeing and managing a variety of high priority projects, as well as completing ad-hoc projects, requests, and analysis;
- Assisting with creation of surveys for internal stakeholders and corresponding automated flows.
Team Support
- Assisting manager with leading team meetings, including helping manager set up meeting topic request systems, agenda creation, note-taking, action-step tracking, developing resources necessary for meeting topics, coordinating with topic presenters to ensure topic is prepared for the meeting, etc.;
- Coordinating strategic meeting logistics as needed (including campus observations and visits) between manager, team, and campus team;
- Ensuring deadlines are met by teammates for systemwide, team, and internal Home Office expectations and required actions and helping manager track required actions as needed;
- Assisting manager's direct reports with administrative tasks as assigned by manager;
- Creating and organizing presentation and meeting materials, such as agendas, PowerPoint slides, documents, and related materials;
- Collaborating with the Director of School Projects to ensure files and resources are saved in the appropriate place and shared with applicable stakeholders, including internal team resources, campus-facing resources, etc.;
- Sitting on the Schools Support Team with the Director of School Projects and other members of the Schools Team who serve in support capacities to collaborate and align on information, projects, tasks, etc.;
- Assisting deputy in monitoring teammate goals and priorities.
Additional Tasks
- Tracking budget and spending for the current fiscal year;
- Assisting in developing the budget for the upcoming fiscal year;
- Purchasing items for team and ensuring all Finance Procedures and Policies are followed by self and team;
- Following guidelines for updating family-facing webpages;
- Leading team in logistical and organization of Teacher Assistant Content Day;
- Supporting teammates in preparing travel and mileage reimbursement submissions;
- Additional duties as assigned.

- Associate's degree from an accredited educational institution
- 3 years of experience in an administrative or operations role
- A record of achievement and accuracy in previous work
- Ability to work outside of normal hours and on weekends

THE NICE TO HAVES
- Bachelor's degree from an accredited four-year educational institution
- Bilingual (Spanish)
- Multitasking of concurrent projects expertise
- Risk management experience
- At least one year of nonprofit or educational experience
- At least one year of project management experience
THE PERKS
- Compensation - This position is a non-exempt, hourly position; compensation offers commensurate with experience.
- Health and Supplemental Insurance - A $0 monthly medical option that includes $600 towards a Health Savings Account, in addition to a variety of supplemental benefits including Dental, Vision, Disability, Life, etc. Employees must work 20+ hours a week to be eligible for a full spectrum of benefits, and 10 hours a week minimum for medical benefits.
