Summary

The Special Events Sales Coordinator provides administrative support to the Director of Special Events & Strategic Accounts in a fast paced sales environment. Candidate must exhibit excellent communication and organizational skills, has initiative, technical adeptness and meticulous to detail. Essential Duties & Responsibilities: * Required to develop in-depth resort knowledge of guestrooms and function space in order to assist customers. * Learn and master the Delphi Sales and Catering software system to check availability, create accounts, bookings, site visitations, block program details while adhering to all applicable SOPs. * Research guestroom and function space availability in Delphi / guestroom & golf availability in SMS. * Expedite the administrative processing of sales inquiries. * Generate VIP Reservations & Amenity Requests using SMS system. * Act as liaison between Sales and internal departments (especially those within Sales division: Sales, Marketing and Reservations). * High level of integrity and maintains confidentiality of sensitive materials. * Book rooms, golf, catering functions for Special Event and Internal Event groups. * Create and maintain current and future bookings and contracts for rooms, catering functions, transportation and golf in Delphi for Lone Cypress and Pebble Beach Special Events. * Update and maintain current Sponsor database year to year. * Maintain Delphi Event Inventory for Special Events throughout the year. * Assist with special event hospitalities (Concours d'Elegance, AT&T Pro-Am) which include weekend hours. * Follow up with client to ensure that contract, collateral, rooming list, and all completed forms are received in a timely manner. * Conduct site inspections / pre-planning meetings for clients and potential clients. * Update and maintain client files including contracts, booking patterns, receipt of rooming list form, itinerary and other pertinent information on rooms, golf, meals, and functions. * Confirm all information on resume with appropriate departments, such as banquet event orders, amenity forms, and memos to Pro Shops. * Develop and maintain relationships with clients through written and verbal correspondence. * Draft working room list and master list of all attendees for each group. * Enter appropriate group booking data in hotel reservation (SMS) and Sales/Conference Services (Delphi) systems. * Communicate pertinent information to other division employees, especially administrative staff, through verbal and written correspondence. * Work with Monterey Peninsula Foundation to ensure all client information is distributed to the appropriate individuals * Work closely with Conference Services, Group Reservations and Group Billing as assigned to bookings. * Schedule, coordinate and setup meetings, appointments and travel arrangements * Take minutes at meetings as requested; type notes and distribute * Prepare various Accounting forms i.e. Expense Reports, Trip Authorization forms and generate Check requests * Work independently while communicating outstanding tasks and upcoming due dates * Coordinate weekly Senior Staff Reports and annual Sales & Marketing Plans: compile information, ensure accuracy, consistently formatted and distributed by deadline * Complete Special Event Reports: invitee lists, rooms production, marketing, ticket sales, hospitality sales, recaps * Use Market-Vision Software to export group data: prepare, proofread, verify and assemble information for reports. Required Skills: * 3-5 years administrative experience, especially in hotel or resorts. * Proficient use of MS-Word, Excel, and PowerPoint essential; knowledge of Delphi and SMS preferred and internet search techniques. * Ability to adapt to any assignment or situation in a fast-paced sales environment. * Meticulous attention to detail, rational thinking, ability to meet deadlines and perform under pressure. * Must work well under pressure and be capable of prioritizing and completing multiple tasks. * Requires professional telephone etiquette and excellent written and oral communication skills. * Must be able to type 55 words per minute. * A positive attitude and professional demeanor at all times. Desired Skills: * Must be able to enter data and knowledge of hotel reservations systems helpful. * Minimum 1-year hotel or resort experience preferred. * Event Planning experience and skills in development of operational timelines.
