Summary

Team & Calendar Management

  • Support Head of Department in team operations and coordination.
  • Ensure shared team calendar is consistently updated.


Customer Service & Request Handling

  • Act as primary contact for customer service inquiries and demands.
  • Communicate with customers via phone, email, chat, etc.
  • Log customer service requests into ServiceMax.
  • Check equipment warranty and determine service chargeability.
  • Assign cases to team members based on availability.


Quotation & Order Processing

  • Issue and follow up on ad-hoc service quotations.
  • Create service orders in ServiceMax, complete them in SAP, and issue invoices.
  • Track spare parts usage and ensure timely invoicing.
  • Monitor service reports for completion and billing.


Repair Loan Equipment Management

  • Handle requests for temporary loan equipment.
  • Complete loan agreements and get necessary approvals.
  • Coordinate loan delivery with warehouse and monitor return deadlines.


Cross-Department Coordination

  • Liaise with Warehouse for spare parts, equipment transfers, and loan logistics.
  • Coordinate with HQ for repair services and equipment transfers.


Preventive Maintenance & Service Contracts

  • Process and manage service contract documents.
  • Schedule preventive maintenance and record in ServiceMax.
  • Monitor contract expiry dates and follow up on renewals.
