We are looking to hire a Senior Property Manager who will be primarily based in Menlo Park, CA. This individual will provide oversight to an onsite team at a large mixed-use property while additionally supporting property management efforts to our growing portfolio across the Bay Area. The Senior Property Manager will be part of a dynamic team and lead daily operations for and be the first point of contact for both tenants and vendors. This role provides an opportunity to join an established Bay Area firm with a rapidly growing presence, as well as mentorship opportunities from senior leadership.
This is a full-time salaried role with an expected base salary range between $150,000 and $195,000 per year. Compensation structure will ultimately be defined based on the successful candidate’s experience level. Required Education and/or Experience:
- BA/BS degree in Finance, Real Estate or related field.
- Strong knowledge of property operations, building systems, and finance.
- 5+ years of commercial real estate property management with increasing responsibilities. An ideal candidate will have class A office experience. Please note that individuals with only residential property management experience will not be considered at this time.
- 2+ years’ experience directly managing a team
- Experience in real estate development and project management is a plus.
- CA Salesperson license is a plus.
- Computer skills including, internet, Microsoft Office Suite, Google Workspace and Yardi.
Roles and Responsibilities:
- Oversee the daily operations of the Property and any onsite personnel in accordance with company policies and standards.
- Provide oversight to the onsite team and vendors to ensure that the property is being operated and maintained in first-class condition at all times.
- Create and maintain positive relationships with tenants and maintain PBV customer service standards by responding clearly and in a timely manner to all tenant questions, concerns, and requests.
- Maintain familiarity with and understanding of leases and ability to comprehend and administer Landlord obligations under the lease.
- Coordinate with staff to maintain current leases and ensure collection, posting and depositing of rental and CAM payments and impounds as due.
- Coordinate tenant moves ensuring a smooth transition and appropriate documentation is completed.
- Monitor tenant service requests and/or maintenance issues to ensure problems are responded to in a timely manner, promptly resolved and billed back to the tenant when applicable.
- Investigates tenant disturbances, complaints or requests and provides resolution in accordance with regulations established in the lease agreements and site policies.
- Ensure routine tenant correspondence and notifications occur including building holidays, planned work, site activities, and violations.
- Conduct and analyze tenant satisfaction surveys.
- Keep detailed documentation of incident reports and report major incidents and emergencies to Ownership.
- Inspect Property on a regular basis to ensure optimal conditions and report any repair or replacement needs to Construction Manager or Building Engineer. Work with Maintenance Department to assure that the property is well maintained at all times.
- Perform due diligence duties such as lease audits, property inventory and service contract reviews.
- Maintain and oversee current service contracts and arranges for new or termination of existing contracts as required.
- Ensure certificates of insurance for tenants and vendors are on file.
- Lead various property accounting functions, including payables, rent collection, and resolution of tenant aging issues.
- Prepare and implement the annual property budget; ensure adherence to budget amounts and provide variance reporting as necessary.
- Prepare Common Area Maintenance (CAM) estimates and reconciliations. Ensure all caps and exclusions are captured accurately.
- Prepare financial and activity reports on a monthly basis and submit to the Corporate Accounting department. Analyzes the monthly financial statement and assists the Asset Manager with preparation of variance Report, Owner’s Letters and Executive Summaries.
- Perform other related duties and assignments as required.
