Vast is looking for an organized, hands-onSenior Experiential Coordinator reporting to the Director of Marketing Operations, to manage the daily operations and logistics of our full-scale, Haven-1 Experience-a 1:1 industrial design model of our inaugural space station that's housed on a 25-foot trailer and featured at key events around the world. This role will oversee the activation when stationed at our headquarters in Long Beach, CA and coordinate transportation, setup, and maintenance for off-site deployments in partnership with external vendors.
Beyond this centerpiece activation, the coordinator will also support a range of on-campus experiential marketing initiatives, including a bespoke photo booth, VR installations, and other interactive brand experiences. This is an exciting opportunity to blend logistics, creativity, and technical oversight in a highly visible and innovative marketing function.
This will be a full-time, exempt position located in our Long Beach location.
Key Responsibilities
* Manage the day-to-day operations of the full-scale Haven-1 Experience, ensuring it is guest-ready, clean, and functioning at all times
* Coordinate logistics for transporting the activation to domestic and international events, including freight, scheduling, and on-site setup/breakdown
* Act as primary liaison with external vendors responsible for the structure's maintenance, upgrades, and repair work
* Maintain detailed schedules, documentation, and inventory related to the activation's deployment, staffing, and technical requirements
* Oversee on-site operation during events, including setup, troubleshooting, and guest flow management
* Manage smaller on-campus experiential activations, such as VR stations, custom photo booths, and other branded installations
* Ensure all experiences align with company branding, safety standards, and operational excellence
* Track and report on usage metrics, feedback, and performance of all activations to inform improvements and future planning
* Partner with cross-functional teams (marketing, facilities, shipping & receiving, security, IT and more) to ensure seamless execution and innovation across all activations
Minimum Qualifications
* 2-4 years of experience in event coordination, experiential marketing, operations, or a related field
* Strong organizational and logistical skills with a proven ability to manage multiple priorities and meet deadlines
* Hands-on experience coordinating physical assets, installations, or technical equipment in a customer-facing environment
* Comfortable working with vendors, contractors, and cross-functional internal teams
* Excellent communication and problem-solving skills, with the ability to adapt in fast-paced, dynamic settings
* Ability and willingness to travel and work occasional nights or weekends to support events and off-site activations
Preferred Skills & Experience
* Bachelor's Degree or relevant experience in event management, experiential marketing, or logistics
* Familiarity with aerospace, tech, or startup environments
* Proficiency in tools such as project management software (e.g., Asana, Trello), CAD layouts, or event asset tracking systems
* Experience working on large-scale or high-profile events
* Strong problem-solving skills and the ability to adapt to fast-paced environments
* A creative, customer-first mindset with a passion for immersive brand experiences and hands-on execution
* Passion for Vast's mission and enthusiasm for contributing to space exploration
Additional Requirements
* Willingness to travel as needed to support event execution
* Ability to work onsite at Vast's Long Beach location to collaborate closely with the team
* Ability to lift up to 50 lbs and support physical setup/teardown of activation elements, including working outdoors in varying conditions

Salary Range: California
$80,000-$105,000 USD
