Role Overview
The Senior Event Planner / Project Manager will oversee the full lifecycle of premium events, managing planning phases, production timelines, supplier coordination, and onsite execution.This role demands hands-on leadership, luxury project experience, and the ability to drive multiple teams toward seamless, detail-perfect delivery.
Key Responsibilities
- Develop and maintain comprehensive event project plans, production schedules, critical paths, and onsite installation programs.
- Interpret and apply technical layouts, BOQs, and material specifications to ensure accurate execution of creative designs.
- Coordinate and supervise vendors, suppliers, logistics partners, and internal departments to secure alignment on quality and deadlines.
- Lead onsite installations, rehearsals, and event-day operations, serving as the central operational authority.
- Actively solve challenges onsite — addressing last-minute client requests, supplier issues, or environmental factors — with calm professionalism.
- Ensure adherence to luxury brand standards in aesthetics, guest experience, and onsite presentation at every stage.
- Monitor project budgets, track supplier payments, and proactively highlight potential cost overruns.
- Deliver structured weekly project updates to the Director of Events & Creative Strategy, ensuring full visibility and risk management.
- Collaborate closely with creative and production teams to ensure flawless transition from concept to reality.
Qualifications and Experience
- Bachelor’s degree in Event Management, Hospitality Management, Business Administration, Architecture, or Interior Design preferred.
- 5–8 years' experience managing luxury weddings,corporate events, or high-profile productions.
- Proven track record of leading complex, multi-supplier events with high-value budgets.
- Strong understanding of event layouts, technical drawings (AutoCAD literacy), BOQs, and material specifications.
- Expertise in luxury event production elements: florals, staging, draping, lighting, sound, furniture, flooring, and rigging.
- Exceptional project management, organizational, and multitasking skills.
- Strong vendor negotiation, contract coordination, and supplier relationship management skills.
- Solid financial acumen in event budget tracking and cost control.
- Outstanding written and verbal communication skills with a polished, professional demeanor.
- Proactive problem-solver with high emotional intelligence and ability to remain composed under pressure.
- Highly detail-driven with a luxury service mindset focused on delivering exceptional guest experiences.
- Proficiency with project management tools; strong command of Excel, event budget sheets, and basic CRM systems.
- Fluency in English is mandatory; Arabic proficiency is a strong advantage.
- Ability to work flexible hours, including evenings and weekends, during peak event periods.
