Key Responsibilities:
○ Support facilities BAU through handling of high-volume administrative tasks for facilities teams
○ Manage and maintain accurate records, files, and databases.
○ Provide general administrative support to program teams
○ Assist in developing and implementing efficient operational processes.
○ Prepare reports and analysis to identify trends and opportunities for improvement.
○ Data source management and data gathering for centralised reporting
○ Support data extraction, transformation, and analysis using tools like Google Sheets, Google Plx and business intelligence platforms (Smartsheet, Looker Studio etc)
○ Review of systems data to ensure information is always up-to-date and accurate
○ Provide support for projects as assigned, including project planning, execution, and monitoring
○ Coordinate with team members and stakeholders to ensure project success.
○ Support the drafting of newsletters and managing a communications schedule
Qualifications and Skills:
- Bachelor's degree or equivalent experience.
- Proven experience in an administrative or operational role.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Proficiency in Google Suite (Docs, Slides, Sheets).
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Process oriented with strong analytical skills in problem identification & resolution
- Experience with SQL for data extraction and manipulation (nice to have)
- Proficient in English
