Scheduling Coordinator
Divisions: Developmental Brain Injury Division (DBIS) / Mental Health Divisions
Location: Holyoke, MA
Full-Time
Starting Pay: $22/hr
Position Summary:
The Scheduling Coordinator plays a key role in managing the effective and efficient deployment of staff across various programs to meet critical organizational needs. This role requires a balance of strategic planning, real-time problem-solving, and data-driven decision-making to ensure optimal staff coverage and compliance with organizational policies. The Scheduling Coordinator serves as a central point of communication for staff, program leaders, and other stakeholders to maintain seamless operations and high-quality client care.
Scheduling and Staff Deployment
Coordinate scheduling for a pool of relief and flexible staff to ensure adequate coverage for all programs.
Assign shifts and communicate assignments promptly to meet programmatic and staffing needs.
Utilize scheduling platforms to manage open shifts, track staff availability, and optimize resource allocation.
Address last-minute scheduling challenges, deploying staff to fill critical gaps efficiently.
Staff Management and Oversight
Oversee compliance with organizational policies, including:
Minimum shift requirements and hours.
Required certifications and training completion.
Adherence to assigned locations and schedules.
Address non-compliance with established corrective actions, ensuring accountability among staff.
Collaborate with leadership to onboard, train, and support new relief staff in understanding scheduling processes and expectations.
Process Development and Improvement
Partner with leadership and the Information Systems team to refine scheduling tools and processes.
Develop and implement standardized procedures to streamline shift assignments and staff communication.
Monitor and evaluate scheduling practices to identify opportunities for efficiency and cost savings.
Data Management and Reporting
Maintain accurate records of scheduling activities, staff utilization, and shift coverage.
Work with the Scheduling Manager to analyze data to identify trends, gaps, and areas for improvement in scheduling practices.
Generate reports for leadership to support strategic planning and operational decisions.
Stakeholder Collaboration
Act as a liaison between staff, program directors, and management to ensure alignment and effective communication.
Provide support to program leaders by addressing staffing needs proactively and resolving issues promptly.
Foster a collaborative environment that prioritizes consistency and quality of care for clients.
Qualifications:
High school diploma or proven experience in high volume staffing coordination
Minimum of 1 year of experience in scheduling, staffing coordination, or a related administrative role.
Proficiency in scheduling platforms (e.g., ShiftBoard) and basic office software (e.g., Excel, Word, and Outlook).
Strong analytical skills for data interpretation and decision-making.
Exceptional organizational and multitasking abilities.
Strong verbal and written communication skills.
Problem-solving mindset with the ability to work effectively under pressure.
