Job Summary

We are hiring a Scheduling Coordinator to Help to ensure successful execution of the calendar, travel and expense management providing support to select Senior Managers.

Title: Scheduling Coordinator

Location: 100% Remote

Shift: M-F 8 AM-5 PM PT (This is 9 AM-6 pm MST/10 AM-7 PM CST/11 am-8 pm EST)

Duration: 12 months, with the potential to extend open ended

Responsibilities

• Calendaring:
• Creating and managing meetings for in-scope supported senior managers
• Responding to meeting requests
• Sending/responding to meeting polls
• Reserving rooms
• Coordinating on-site food and beverages
• Handle & drive to resolve calendar & scheduling conflicts
• Processing external visitor requests
• Providing visitors with 'Guest Wi-Fi' connectivity procedures/information
• Coordinate visitor arrival with local Admin
• Identify and resolve problems (if applicable) per documented procedures
• Travel:
• Book and manage travel arrangements through SAP Concur software
• Expense:
• Prepare and manage expense filings through SAP Concur software
  
  

Qualifications

High Volume Calendar Management: Scheduling meetings for leadership or stakeholders

Experience with Outlook365 and Concur

Skills

• Excellent organizational and communication skills
• Proactive communication and problem-solving abilities
• Detail-oriented with the ability to reliably manage routine administrative tasks
• Demonstrated ability to engage positively with stakeholders and deliver exceptional customer service
