What would this role do?

The Scheduling Assistant is responsible for supporting the mission and vision of the organization by maximizing the delivery of services for all assigned clients. This position will work closely with the assigned local office administrative and clinical team and report to the Director of Clinical Services (DOCS) to maintain the permanent scheduled service hours.

Role Responsibilities

Essential Functions

  • Maintain Service utilization above 90% for assigned office.
    • Monitor service hours for each client based on permanent schedules.
    • Track and address staff and client cancellations daily.
    • Provide make up, re-schedule, or additional time for schedule changes.
  • Maintain Permanent Schedules that includes but is not limited to managing the Client monthly calendars, case assignment sheets, and ensure all schedules are compliant with scheduling laws.
  • Maintain staffing logs that includes but not limited to tracking unstaffed hours, partial hours, and fully staffed hours.
  • Support new hires that include but are not limited to tracking Staff training, providing training schedules, and coordinating Day 1.
  • Support recruiting that includes but is not limited to maintaining the staffing log, updating staff and Client availability, and supporting recruiting events.
  • Triage staff and client concerns.
  • Conduct interviews with candidates.

Non-Essential

  • Complete all duties and/or tasks assigned by leaders and/or the business.
  • Assist with day-to-day operations of the scheduling department.
  • Assist with hardware tracking as assigned.
  • Support with compliance maintenance (CPI, TB, ABAT, etc.)
  • Review Scheduling needs daily.
  • Follow scheduling policies and processes, and workflows. 
  • Assist with administrative team duties as assigned.
  • Ensure regulatory compliance with insurance protocols, HIPPA, and other federal, state, and local regulations.
  • Participating in team meetings, trainings, and professional development opportunities.
  • Providing support for any office needs, if necessary, to run the office more efficiently.


Must Haves

  • Minimum of 5 years administrative experience
  • Minimum 6 months of scheduling experience
  • High School Diploma or GED


Nice to haves

  • Administrative experience, scheduling experience preferred.
  • Ability to work in a high paced, competitive, performance-based environment.
  • Ability to multi-task with a high sense of urgency
  • Great customer service skills
  • Excellent Intrapersonal Skills
  • Excellent Phone etiquette
  • Ability to utilize a multi-line phone system.
  • General Geographic understanding of the assigned catchment areas.
  • Knowledge of Microsoft Office applications (e.g., Word, Excel, Outlook.)
