Summary

We are seeking a highly organized and proactive Sample Library Coordinator to manage and maintain the materials library at our interior design office. This role is essential in supporting the design team by ensuring quick access to up-to-date samples and material information from a variety of suppliers. You will act as the key point of contact for vendor communications, sample requests, and material procurement processes.

Key Responsibilities:
  • Library Management:
  • Organize and maintain a well-structured sample library, categorizing materials by type, brand, and usability (fabrics, finishes, tiles, flooring, etc.) for easy access by the design team.
  • Supplier Communication:
  • Initiate and maintain regular contact with material and product suppliers to request samples, obtain product updates, and stay informed about new offerings in the market.
  • Quotations & Procurement Support:
  • Request and manage price quotations for materials, ensuring accurate and timely information is provided to designers and project managers.
  • Email Correspondence:
  • Respond to supplier and internal email inquiries in a professional and timely manner. Track follow-ups and ongoing correspondence related to samples, quotes, and orders.
  • Inventory Oversight:
  • Keep a current log of all materials in the library. Monitor inventory levels and dispose of outdated or unused samples according to office guidelines.
  • Material Research:
  • Proactively research new materials and innovations that may be relevant to upcoming design projects, including sustainable or cutting-edge options.
  • Collaboration with Design Team:
  • Work closely with the design team to understand project needs, anticipate material requirements, and ensure all samples are available for client presentations or internal reviews.


Qualifications:
  • Strong organizational skills and attention to detail
  • Excellent communication skills (written and verbal)
  • Proficiency in email and basic office software (e.g., Microsoft Office, Google Workspace)
  • Ability to manage multiple tasks and deadlines efficiently
  • Interest or background in interior design, architecture, or related field is a plus
  • Previous experience working with suppliers or in materials management is advantageous
