Summary

The Sales Coordinator plays a crucial role in the sales department by prospecting new clients, maintaining relationships with existing clients, and ensuring seamless event execution. This individual actively pursues business opportunities through outreach efforts, networking, and community involvement. They are responsible for generating creative marketing ideas to attract and retain clients while coordinating with the production team to bring the client’s vision to life.

The Sales Coordinator must have a strong understanding of Flavor Chef Catering’s systems and standards and work to uphold and enhance these areas. They act as the primary liaison between clients, the sales team, kitchen staff, the warehouse, and the Director of Sales, ensuring proactive communication and problem-solving.

The primary goal of this role is to drive sales growth, secure new business beyond inbound inquiries, and maintain strong client relationships, all while ensuring the seamless execution of events.

Essential Duties and Responsibilities

The Sales Coordinator is responsible for managing daily sales activities, prospecting new business, and overseeing event production needs. Responsibilities include but are not limited to:

• Proactively develop new business through cold calls, client referrals, networking, community involvement, and prospecting.

• Identify and secure new clients outside of incoming inquiries to drive company growth.

• Build and maintain relationships with clients by coordinating event details, including menus, themes, design, rentals, and logistics.

• Assist clients in conceptualizing event ideas and preparing proposals that include cost estimates for menus, staffing, rentals, and venues.

• Attend events to ensure client satisfaction and assist as needed.

• Conduct event “walk-throughs” with operations, discussing event timelines, menus, vendors, staffing, rentals, and other key details.

    •   Participate in weekly sales meetings to track progress, set goals, and discuss upcoming events.

• Work toward achieving quarterly and annual financial targets set by the Director of Sales.

• Assist with collecting deposits and payments for events when necessary.

• Create detailed event pack lists for staff to ensure smooth execution.

• Contribute positively to team morale and overall company culture.

• Represent the company at trade shows, industry meetings, and community events to build sales opportunities.

• Stay updated on industry trends by attending trade shows, taking relevant courses, and reading industry publications.

• Consistently meet or exceed sales budget and goals on a monthly, quarterly, and annual basis.

Qualifications


Education and Experience

• Bachelor’s degree from a four-year college or university OR a minimum of two years of relevant experience in sales, catering, or event planning.

• Previous experience in off-premise catering is highly preferred.

• Strong knowledge of menu planning and food preparation techniques.

• Previous experience in event planning and catering sales.

• Excellent verbal and written communication skills.

Computer Skills

• Proficiency in operating computers and familiarity with relevant software, Total Party Planner (TPP)

Language Skills

• Ability to read, analyze, and interpret business periodicals, industry journals, technical documents, and regulations.

• Strong ability to write reports, business correspondence, and procedural documentation.

• Comfortable presenting information and responding to questions from managers, clients, and customers.


Mathematical Skills

• Ability to perform basic arithmetic, including addition, subtraction, multiplication, and division.

• Competence in calculating rates, ratios, and percentages.


Reasoning Ability

• Strong problem-solving skills with the ability to navigate unique situations and adapt as needed.

• Capable of interpreting various types of instructions (written, verbal, diagrams, schedules).

Physical Demands

• Ability to stand, walk, sit, and reach with hands and arms for extended periods.

• Occasional climbing, balancing, kneeling, crouching, or crawling.

• Must be able to lift and carry items up to 50 pounds.

• Requires good vision, including close vision and color differentiation.
